The Estimating Coordinator position will include a broad range of responsibilities and will require the candidate to manage multiple priorities under deadline-oriented environment. We seek only motivated candidates looking for a positive team environment – to succeed, the candidate must be willing to both contribute towards the success of the estimating department and share receptionist duties for 2-3 hours per day. SPECIFIC RESPONSIBILITIES · Assist a team of seven estimators with various responsibilities. · Act as primary point of contact when subcontractors visit in person – the estimating coordinator must be available at any time to greet the visitor and answer any questions they may have. · Establish and maintain a positive working relationship with our subcontractors. You will routinely be answering questions, returning phone calls, and have responsibility for any and all subcontractor communications, bid invitations, etc. · Pick up plans, communicate with architects and owners. · Maintain and update our subcontractor contact database with over 2000 subcontractors. · Organize and maintain product library and project documents within our plan room. · Procure and obtain pricing on miscellaneous supplier items, upon request by estimators. · Organize lunch-n-learns, order office supplies for the department, and secure lunch on bid-days. · Organize post-bid documentation, compile bid books, archive past bid books, and maintain each. · Miscellaneous administrative tasks as required, including assisting with the tracking of unit costs. · Process plans and specifications (acquisition, production onto CD’s, and distribution to subcontractors). · Provide primary support for receptionist – the receptionist duties will include processing all incoming phone calls using our computer based Tele-vantage phone system, greeting and directing clients and subcontractors, and processing mail and deliveries, etc.
POSITION REQUIREMENTS · 3-6 years office experience is desirable, as is knowledge of construction principles. · Advanced computer skills on Microsoft Office Suite (Excel, Word, Power point) and ability to quickly learn other software programs utilized by the Company. · Excellent communication skills (written, oral, and ability to listen!) · Self-starter with ability to achieve goals while balancing multiple tasks simultaneously under time constraints. · Ability to perform work in an accurate and efficient manner. To be successful, the candidate must be a master at multi-tasking and prioritizing.
