Brief Job Description:
The Benefits Manager will be responsible for analyzing Kao America Inc.’s current U.S. benefit plans for competitiveness. Coordinating benefits renewal and open enrollment for all plans. Ensuring operational compliance with various regulations. Ensuring accurate benefits data is sent to vendors and payroll. Creating benefits communication materials and conducting employee benefits meetings.
· Analyses U.S. benefits plans for competitiveness and recommends changes to Sr. C&B Manager.
· Manages annual health and welfare open enrollment process: prepares and coordinates distribution of communication materials, populates on-line enrollment system, conducts meetings for all KAI group companies.
· Answers questions from employees, plan members and retirees as appropriate. Involves vendors and Benefits Manager to resolve claims issues as needed. Responds to other KAI company’s HR/Accounting Departments, outside actuaries, vendors and auditors requests as appropriate.
· Manages two direct reports.
· Keeping abreast of law changes of ERISA, Internal Revenue Code, FMLA, HIPAA and COBRA laws. Conducts periodic internal operational audits for compliance. Ensures compliance with JSOX regulations within the Benefits dept.
· Ensures timely filing to Department of Labor of forms 5558, 5500 and all required schedules, and PBGC filings.
· Manages plan administration duties between KBC benefits staff and other KAI subsidiaries’ benefits staff. Manages data reception from KAI group companies.
· Coordinates any amendments or administration changes to benefits plans.
· Ensures proper billing from Accounting Department to KAI subsidiaries for all benefits related charges.
· Performs various internal control audits as needed. Gathers data for external auditors, actuaries and accounting department as needed. Ensures correct data is submitted to vendors for 5500 filing, retirement plan audits and FAS 106 and FAS 87disclosures.
· Monitors medical claims reports and large case management.
· Designs and ensures preparation and delivery of quarterly benefits dashboard for Benefits Dept and Executives.
· Ensures Summary Plan Descriptions, Summary Material Modifications, and other required mailings are distributed.
· Participates in benefits surveys and reviews competitor/survey data
· Manages Workers Compensation claims processing and monitoring, reports for calculation of WC premiums. Coordinating investigations and IMEs with vendor.
· Ensuring our HIPAA Compliance by tracking on-line training attendance, making certain necessary HIPAA mailings are distributed and postings are displayed.
· Manages 401(k) enrollment process and enrollment meetings. Periodically audits employee eligibility. Performs annual 401(k) Safe Harbor True-up and coordinates distribution of notice to participants. Administers QDRO agreements.
· Meets with future retirees and prepares Pension estimates. Coordinates Excess Pension Plan payments and FICA entries with Vendors/Accounting and Payroll.
· Audits eligibility and coordinates annual enrollment and employee communications. Validates quarterly and annual reports. Evaluates COLIs and plan funding status in conjunction with Sr. C&B Manager and accounting dept. Checks annual participant statements.
· Designs and composes benefits related information for company Intranet, New Hire Packets and New Hire Orientation. Ensures this information is accurate and up to date.
· Manages new hire benefits orientation process and retiree orientation process.
· Planning and organizing worksite wellness initiatives, such as wellness fairs.
· Works with Sr. C&B Manager in creating and updating benefits policies and procedures.
· Other duties as identified.
Job Requirements:
· 3 - 5 years benefits management experience required.
· Knowledge and understanding of ERISA, Internal Revenue Code, FMLA, HIPAA and COBRA regulations.
· Intermediate PC skills (e.g., Microsoft Office products – Outlook, Word, Excel & PowerPoint)
· HRIS experience required.
· Strong analytical skills and attention to detail.
· Possess strong organizational and time management skills.
· Excellent verbal and written communication skills.
· Must project a professional, positive image to internal and external customers.
· Strong priority setting skills.
· Ability to work independently on assigned tasks as well as to accept direction on given assignments.
