Position Summary
Provide administrative secretarial support to the Sales Department. Prepare correspondence for the Sales Department; send artwork to customers; screen phone calls; use data entry to prepare reports. Coordinates Sales Dept. with other departments, volunteering to assist in other areas as necessary. Understand how Sales impacts the organization, i.e.: new product launches, promotions, unique SKUs, forecast and others. Understand the sales forecast system and how it impacts the organization.Prepare, assemble, and distribute account presentations, business reviews, trade shows, etc. as requested. Arrange and schedule meetings, appointments, travel arrangements; ensure accuracy of scheduling and arrangements.Maintain official office records and files; maintain computer files and generate reports.Maintain Sales forecast files up-to-date by reviewing and adjusting the requirements for all the accounts at a minimum of once a month.Ensure the forecast for new items is entered into the system, ensure the forecast for "dead" or "discontinued" items are erased from files.Answer, screen, give information to callers and direct phone calls to appropriate individuals. Prepare sample request forms; distribute and follow through on sample requests. Sort and route incoming mail. Photocopy and distribute, mass mailings, send pricing and MSDS sheets, and other reports as necessary. Review customer artwork.Attend meetings and functions that require input from the Sales Dept. when the Account Manager is not available. Assist with preparing and shipping of Hazardous and Non-Hazardous products.
POSITION QUALIFICATION REQUIREMENTS:
Secretarial practices requiring high school plus specialized training in word processing, spreadsheets and administrative procedures. Database query within Excel is a definite advantage. Excellent written and verbal communications skills, including business letter writing, are required. Minimum three years progressive secretarial experience. Type at 60 WPM; excellent transcription and professional editing ability as well as the ability to generate computer reports on sales data, forecasts and budgets. Must have experience with MS Word, Excel and Power Point.
