ADMINISTRATIVE ASSISTANT TO THE DEAN - Cummings Veterinary School
The Dean is the chief executive officer of the Cummings Veterinary School at Tufts University. The Dean's Office administrators and staff support the Dean of the Veterinary School in her TCSVM Bylaw and Trustee Bylaw determined functions as the primary administrator for the Cummings School of Veterinary Medicine at Tufts University (TCSVM).
The Administrative Assistant to the Dean acts as the first line of response for faculty, students, parents, donors, clients, as well as other veterinary school deans and academic officers, the senior leadership of Tufts University, members of the local community, the larger veterinary community and its affiliated professional organizations. This individual will direct, respond to, organize and process all correspondence and communications for the Dean. The incumbent must have a positive, enthusiastic, welcoming demeanor and a comprehensive knowledge of the day-to-day responsibilities of the Dean to ensure that the Dean's Office runs smoothly. The Administrative Assistant manages the Dean's Office with professionalism, shows tact and diplomacy when dealing with concerns of constituencies, appreciates the mission of the School and supports the Dean in his/her efforts. Duties include the following: Maintaining the Dean's calendar and coordinating meetings; Drafting routine correspondence and proofreading moderately complex documents; Preparing spreadsheets; Coordinating travel arrangements; Screening phone calls, maintaining files, and processing financial forms; Acting as a department resource in answering questions or directing concerns to the appropriate person; Coordinating special projects, committee meetings and minutes, and a monthly newsletter and coordinating the institutional licensing process.
Basic Requirements: Bachelor’s degree with at least three years of related experience. Strong secretarial and administrative skills are required, as well as advanced computer skills including knowledge of MS Word, Excel, PowerPoint, Access, and Adobe Acrobat Writer, as well as internet, with a typing speed of 50 - 70 WPM. Ability to lift 25 pounds.
Preferred Qualifications: More than three years of related experience preferred. Previous experience in an academic environment preferred. A working knowledge of professional education issues in a health care environment is a considerable asset. Superior organizational skills, ability to work independently, strong attention to detail, ability to interact diplomatically with a wide variety of constituents, and to work effectively as part of a team. Someone who is self motivated, requires minimal supervision, and can perform in a sometimes stressful environment, meeting multiple deadlines under pressure during busy times. Should demonstrate initiative and good judgment with confidential information.
