Administrative Asst III - 08502

As a member of the Dean's Office, within the School of Industrial and Labor Relations (ILR), this position serves as the first point of contact and is the critical conduit of information for visitors, students, faculty, and staff. In addition to staffing the front desk responsibilities include providing broad-based administrative support for the Associate Dean and Executive Director and backup administrative support for the Assistant Dean and Executive Staff Assistants. Responsibilities include but are not limited to: Drafting routine correspondences including merge documents.Handling the distribution of confidential correspondences.Design spreadsheets and materials from a variety of information systems and assemble materials for complex reports.Maintain department administrative databases and coordinate dissemination of information.Provide assistance in coordinating travel, including complex travel arrangements, meeting schedules, briefings and producing travel expense reimbursements for all employees in the Dean's suite.Coordinating special events and programs in collaboration with other office staff.Serving as the Procurement Card coordinator for the office.Providing general administrative support such as copying, filing, document preparation and maintenance of general office supplies for the entire office. The individual in this position is supervised by the Executive Staff Assistant and requires a high degree of discretion and judgment around sharing confidential information within the ILR Dean's office and other college administrators and department heads.
Associate degree with 3 to 4 years administrative experience or equivalent combination of education and work experience is required. Must be comfortable acknowledging and greeting all visitors to the Dean's suite as this position serves as the first point of contact for all visitors.A demonstrated ability to work in a disruptive environment without being distracted is essential.Must have outstanding interpersonal skills and a demonstrated ability to work with diverse clientele. Possess the ability to manage and prioritize multiple projects/assignments, work under pressure and meet established deadlines. Past experience functioning as an effective team player is required.Exercise good judgment and logic to anticipate and solve problems independentlyOrganizational skills and attention to detail is critical.Excellent writing, proofreading, and editing skills are necessaryAbility to communicate effectively verbally and in writing.Must possess a professional attitude, appearance and phone etiquette.Prior experience with calendar management and logistical planning.A demonstrated ability to maintain confidentiality is essential.Proficient with various software such as but not limited to: Excel, FileMaker, PowerPoint, Eudora and Oracle. Flexibility in work hours is required. Preferred Qualifications: Familiarity with Access, Publisher, and CommonSpot or other web-editing software.Experience in Cornell's statutory on-line accounting system: Cornell C, APPS, JEMS, BRIO.Prior experience setting up and managing travel itineraries and reimbursementsKnowledge of labor relations or workplace issues, academic environment experienceNo relocation assistance is provided for this position.
