Administrative Services and Scheduling Coordinator
This full-time position at Longy School of Music will serve as the initial customer service contact for the School’s incoming calls, as well as for walk-in inquiries made by students, faculty, staff, and guests. In addition to supporting the administrative needs of the staff and maintaining an organized information and communication system, the Administrative Services and Scheduling Coordinator will work closely to keep the daily room schedules operating smoothly. This position will run the Gig Office, the musician referral service for Conservatory students, and will work collaboratively with the Concert Office staff for day-to-day scheduling of studio and performance spaces. The Administrative Services and Scheduling Coordinator will report to the Manager of Concert Services and Special Events.
Responsibilities include:
Open front office for business promptly at 8:00 a.m. and ensure coverage until arrival of security guard at 5:00 p.m. (The Coordinator’s official hours are 8:00 a.m. to 4:00 p.m. with an hour for lunch.) Answer telephone inquiries for Longy and respond to walk-in student, faculty, staff, and guest inquiries at Longy Understand and document all incoming hiring requests for Conservatory musicians Work with Academic Affairs and Department Chairs to match musicians appropriately to gig requests Comply with all rules and regulations governing employment opportunities for international students Assist in staffing and supervising front desk coverage Collaborate with the Director of Operations to maintain a strategic and efficient school-wide scheduling of studio and performance spaces Update posted scheduling information and disseminate information about Longy events Sort, deliver, and meter all incoming and outgoing mail and express deliveries Monitor and reserve parking for faculty and guests Organize and order supplies for the 1 Follen Street building (Zabriskie House) Coordinate A/V equipment usage with appropriate department Coordinate special requests with appropriate parties Collaborate with the Concert Office in selling tickets for, and responding to, inquiries about Longy concerts and other events
