Location/Department: Ph.D./D.M.A. Program in Music Position Detail: Managerial and Professional FLSA Status: Non-Exempt Compensation: $33,454-$44,062 commensurate with qualification and experience Web Site: www.gc.cuny.edu Notice Number: MP-14886 Closing Date: 4/18/08 POSITION DESCRIPTION AND DUTIES Overview The Doctorate of Musical Arts (D.M.A.) Program in Music Performance has 95 students and over 40 faculty members. Music academic classes are given at the Graduate Center. Private lessons are provided at the colleges. The Assistant Program Officer (APO) serves as the program manager and resource person for applicants, students, and faculty regarding requirements and procedures of the DMA program. This position reports to the Deputy Executive Officer (DEO) under the direction of the Executive Officer and the Provost. In conjunction with the DEO, the APO evaluates and monitors student progress in fulfilling requirements for the degree, including major program examinations requirements, advancement to candidacy, and meeting time limits for completion of the degree. Reporting to the Deputy Executive Officer of the DMA Program in Music Performance, the Assistant Program Officer has the following responsibilities: • Serves as liaison between the DEO and departments and faculties at Queens, Brooklyn, Hunter, CCNY, Staten Island, or wherever studio teaching faculty may be located. Also a liaison with Graduate Center adjunct faculty, including coordinating with Human Resources for hiring activities as well as Graduate School and University Center (GSUC) administrative offices including Student Affairs, Student Services, Office of International Students, Information Resources, Academic Planning, Public Affairs and Publications, Development, and Research and University Programs. • Schedules Second Exam, Oral Exam, jurors for first, second and third recitals. • Manages all program operations including admissions and registration activities, budget allocations, correspondence, records and files, committee meetings, and special events. • Evaluates student progress in fulfilling requirements for the degree using program records and the on-line student information systems (Student/Faculty Web and the EO Web page). •Maintains a current record of students available for teaching internships, GTFs, and tutoring; informs students of opportunities for these as they arise. • Determines specifications for, compiles, and prepares statistical data as required by external professional accreditation agencies and state or federal regulators. Works with Executive Officer to fulfill DMA requirements of above. • Reviews and edits program documents to ensure compliance with program policy and procedures. • Coordinates activities of the program Admissions Committee and advises DEO on procedures. Advises applicants regarding general program requirements and refers them to appropriate faculty for further advisement and evaluation. Advises the Admissions Office of the disposition of applicant files and of any prerequisites for entrance into the program.; supplies Admissions with up-to-date information materials. • Responds to requests for program information and compiles periodic reports for various offices of the GSUC. • Prepares and supervises mailings (email and US Mail). Uses computer software (Microsoft Word, e.g.) to design posters and flyers advertising events. Posts notices and announcements over email; tracks student progress in job searches and keeps DEO informed. • With input from DEO, coordinates ensemble program including scheduling of rehearsals and coachings. Maintains file of all current and past ensembles and repertoire. • Maintains financial records for all aspects of the program. • Helps to coordinate, supervise and evaluate activities of part-time staff such as college assistant in concert office and program office. • Performs other related duties as assigned. QUALIFICATION REQUIREMENTS BA/BS degree required. Some knowledge of classical music preferred. Two years of administrative experience in higher education preferred; excellent organizational ability. Flexibility, accuracy with attention to detail; good judgment and initiative; ability to deal effectively with faculty, students, and staff members: excellent written and oral skills. Sophisticated knowledge of computer software, particularly Microsoft Office programs. Must be a self-starter capable of making on-the-spot decisions.
