General Purpose:

Reporting to the Executive Director, manage alumni programs and activities for Yale College Classes at the Association of Yale Alumni (AYA). Develop and strengthen alumni ties to the University through Yale College Class organizations and reunions and oversee the AYA Assembly. Serve as a key member of the AYA senior management team. Supervise professional and support staff.

 

Position Description: Manage planning for and execution of annual Yale College Reunions ($1.5M expenditures; 6,500 attendance), including program development, budgeting, volunteer management, campus coordination, vendor relations, and marketing. With the Assistant Director for Administration, lead the ongoing process of goal setting, planning, and process improvement for the reunion program. Build and enhance partnerships with other university staff and departments to leverage reunion resources.Supervise seven full-time staff who are responsible for all Yale College Class alumni activity and the AYA Assembly. Provide opportunities for staff training and professional development. Supervise temporary reunion staff including students and casual employees.Direct the training and advising of volunteer class officers on class organization and development including: financial management of class treasuries (accounts held at Yale with 501(c)(3) status and approximately $1.2M annual income), including dues solicitation and class expenditures; organization of class events (other than the quinquennial reunions) in New Haven and around the country (over 1,500 participants annually); and class leadership development and officer elections.Initiate and lead long-term planning in support of Yale College classes; identify new programs and improvements to existing ones.Develop guidelines, manuals, and training materials for class activities that reflect the University’s alumni relations objectives and best practices for volunteer organizations. Promote and explain information to both University personnel and alumni volunteers. Attend professional conferences for benchmarking and market research.Serve as staff representative on AYA travel programs for one or more trips per year either domestically or abroad. As needed, help staff alumni activities sponsored by the AYA.

 

Qualifications: Bachelor’s Degree and six years experience with alumni relations, and/or volunteer groups; or an equivalent combination of education and experience.Supervisory experience.Experience in academic administration, event management, public relations/marketing and/or related field.
