Executive Assistant
The Executive Assistant provides essential support to campus operations and the Executive Director. The Executive Assistant is directly responsible for bookstore operations; campus payroll; campus accounts payable/receivable; cash management and serves as a campus liaison to the regional human resource director. Provides direct administrative support in the activities of the Executive Director/College President as requested. The Executive Assistant will also play an active role in augmenting support during key periods for the various departments including Registrar, Student Services, and Career Services. ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Coordinates campus payroll with the corporate payroll department. Completes, submits and manages payroll information functions in a timely manner. Serves as first point of contact for campus employees that have payroll and benefits questions. 2. Coordinates Human Resources related activities to include implementing corporate human resource policies and procedures, new employee orientation, posting health, safety and security information, maintaining current employee lists and organization charts, tracking employee training, supplying information for unemployment processing, maintaining campus employee files and routes verifications of employment to the corporate payroll office. 3. Manages all bookstore operations including personnel management, inventory management, café operations, and maintaining a minimum stock levels of required for standard operations. 4. Manages all campus cash management, accounts payable, accounts receivable, and purchasing in compliance with regulatory and corporate processes. 5. Manages and maintains daily cash receipts by preparation of receipts for all physical funds received; preparation of daily deposits and delivery of said deposits to bank and preparation and mail of deposit detail packet and deposit receipts to Alta; settlement and batching of credit card activity; and, controlled numbered cash receipt system. 6. Serves as the campus purchasing coordinator. Receives purchasing requisitions and executes requests through corporate purchasing department or directly to suppliers as required by corporate purchasing policies and direction provided by the Executive Director. 7. Maintains appropriate files and tracking system for same. Checks and maintains adequate office supplies such as copier paper, cups, restroom supplies, etc. 8. Supports the Executive Director and coordinates support for the other administrative and academic Directors. 9. Orders and maintains office supplies for use by all departments within the campus. 10. Assists in the preparation of documents relating to college accreditation, to include the preparation of the annual reports, collaboration with accrediting representatives, and other accreditation issues as directed by the Executive Director. 11. Handles sensitive information in a professional and confidential manner. Escalates issues to appropriate individual. Prepares confidential correspondence. 12. .Assists other team members with campus items as directed by the Executive Director. These areas of assistance may include: student activities, special events; facilities issues; registration, testing, business office receipts, complaints, etc. 13. Resolve problems and respond to non-routine inquires relating to all responsible areas including general payroll issues, student issues, accounts receivable/payable, bookstore operations, and campus supplies. 14. Serves as general campus liaison support with corporate for the campus JOB QUALIFICATIONS 1. Associate Degree required, Bachelor’s or above degree preferred 2. At least three to five years administrative or accounting, payroll, or general administrative human resources experience 3. Proven ability to deal with a variety of individuals and situations in a professional environment 4. Proven ability to discreetly and confidentially handle sensitive topics and correspondence. 5. Previous experience supervising or coordinating staff projects desired 6. Must be proficient with Word, Excel, and PowerPoint 7. Attention to detail essential, including proofreading documents and lines of text and numbers. 8. Strong problem-solving abilities essential 9. Strong organizational skills 10. Ability to work with all types of people, to assume facilitator and occasionally lead role, and to affect timely submissions from others required. 11.
