Executive Assistant to Sr VP, College Readiness
The College Board, a national educational organization, is conducting a search for an Executive Assistant to the Sr. Vice President and Executive Director of Operations, College Readiness Systems. This position will provide executive assistance and special project support to the Senior Vice President, College The Executive Assistant will maintain communication with Senior Directors in the school districts, obtain information, analyze the information, and report to the Senior Vice President and/or the Executive Directors while maintaining a high degree of confidentiality.
Key responsibilities include:
· Managing the Senior VP’s and ED’s schedules and calendars, including prioritizing and delegating internal and external meeting requests
· Drafting, editing, reviewing, and proofreading routine and varied correspondence, reports, proposals, and other official internal and external documents
· Answering and managing the Senior VP’s and ED’s phone messages, and understanding and prioritizing follow-up;
· Distributing information to unit staff as directed by the Senior VP and/or ED
· Responsible for all necessary expense accounting for the Office of the Senior VP and the ED
· Provide support as needed for invoicing; tracking income/expenses; maintaining general financial records in electronic format
· Provide a wide variety of administrative tasks for College Readiness Systems that may include access to private and confidential matters that require using discretion, including originating and editing presentations, managing information in databases, coordinating distribution of information and material with internal and external entities, processing requests for information, preparing reports, organizing and preparing probationary and annual staff evaluations, and maintaining files and other duties as assigned.
· Record minutes from meetings; manage the logistics of large meetings, and arrange meeting set-up for staff meetings and/or meetings sponsored by the Senior VPand ED of the College Readiness Division.
To be qualified for this position, a Bachelor's degree is strongly preferred. Candidates must have three to five years of experience working for a senior level executive. Experience in the school system is a plus. Excellent writing and editing skills are required, including impeccable grammar and spelling. Candidates must possess the ability to understand and maintain the propriety of information, ability to solve problems and make decisions quickly and effectively and the ability to effectively set priorities and handle multiple situations and projects simultaneously. Proficiency in Microsoft Office applications and Concur Expense Reporting System is required. Strong customer service orientation, excellent interpersonal skills, research skills, including on-line research techniques, strong organizational skills and strong work ethic are required.
