Reporting to the Associate University Registrar, the Office Assistant V - Student and Faculty Services and Desktop Publications Coordinator is responsible for providing academic records services to students and faculty, desktop publishing, web design, and coordination of the packaging, distribution, and processing of faculty evaluations.
Essential Job Responsibilities:
- Processes student record forms, including, but not limited to: Changes of Academic Program, Leaves of Absence, Withdrawals, Challenge Exams, and Study Abroad and Permission to Enroll at Another Institution transfer credit forms.
- Researches and solves inaccuracies and inconsistencies with student records; corresponds with students throughout the resolution process.
- Generates correspondence to students, staff and faculty in relation to students' academic records.
- Maintains current and archived digitally-imaged student records; scans new documents as needed and assists with purging of old records.
- Coordinates the ordering, packaging, distribution, and processing of faculty evaluation forms.
- Revises online class schedule web site and other related web pages using web design software. Converts files to appropriate format for online publication. Deploys web pages using content management software.
- Revises forms and other office publications as needed using desktop publishing software. Coordinates the printing and distribution of these forms.
- Maintains inventory of forms and office supplies and reorders as needed.
- Processes incoming mail and distributes as appropriate.
- Supervises student workers and processes their time sheets.
- Participates in all registration periods as needed.
- Participates in Fall and Spring commencement exercises.
- Provides excellent customer service to in-person, telephone, fax, and email inquiries.
- Serves as alternate to other staff positions during periods of vacancies, vacation, and illness.
- Performs other duties as assigned.
Requirements:
- Excellent oral and written communication skills.
- Must have related experience in applying problem solving and customer service skills to a diverse clientele.
- Excellent customer service skills and demonstrated ability to handle inquiries via the phone, email, and in-person.
- Ability to provide accurate information and develop a thorough understanding of the University's general regulations and office procedures.
- Ability to work as a member of a team and contribute to the overall smooth operation of a service environment.
- Minimum 2-year degree.
Computer proficiency required:
- Basic computer literacy, including file management, email, and internet usage.
- Experience with MS Office Suite.
- Experience with Windows operating system.
- Experience in locating information and specific pages on the internet.
- Experience with desktop publishing software preferred: Dreamweaver, HTML, Adobe Creative Suite (InDesign, Photoshop, Illustrator, Acrobat).
