An opportunity now exists in for a Executive Assistant. The primary responsibility of the Executive Assistant is to maximize the effectiveness of Division leadership by providing top level administrative support. The individual will have experience taking on responsibility and managing priorities with minimal guidance. This position must appropriately handle sensitive, highly confidential materials and matters with discretion. The successful candidate must exhibit poise, tact, diplomacy, excellent organizational skills, must work proactively and independently and have a willingness to learn the business.
Roles & Responsibilities
Plan and co-ordinate all aspects of meetings, videoconferences, audio conferences Organize agendas, communications and logistics for monthly channel meetings Secure input from channel members & finalize communications for distribution Prepare draft documents with content experts (NDAs, proposals, customer replies) Monitor internet web sites for information and disseminate this information in timely manner Coordinate Program Office monthly communication Assemble monthly metrics Maintain leadership itineraries, prepare travel schedules, and obtain travel visas as necessary, assist with changes that occur during travel Manage expense reports Provide administrative support to key site visitors Consistently review and reengineer processes to increase efficiency and continuously improve service levels Coordinate production and distribution of channel communications; manage the cascade of these communications as appropriate globally Manage Executive distribution/contact lists Assist in presentation development/edits as required in preparation for meetings and communication sessions; arrange executive communication sessions, including effectively communicate to ensure participation, reserving rooms, managing audio, video and WebEx functions Maintain various databases for communications content and availability
Minimum QualificationsAssociate’s degree in Business Management or related field, or equivalent combination of education, training and experience required; Bachelor’s degree preferredA minimum of five years executive level administrative expertise in a global business environment
Excellent organization and analytical skills. Ability to understand, evaluate and make judgment on the proposals (RFP’s)
Ability to work in a high-pressure environment and think effectively
Capability of effective planning and priority setting, including the ability to manage several complex projects simultaneously while working under pressure to meet deadlines
Ability to interact with senior level management
Ability to present to all levels of an organization
