MGA Entertainment, a consumer entertainment products company, is searching for a Sales Administrator to join our team! POSITION SUMMARY
The Sales Administrator is responsible for managing all functions related to successfully processing the order from inception through releasing to warehouse for both Domestic and/or International orders. This position is a key part of the Sales Administration team; providing status of orders and statistics of sales orders revenue to management on a frequent basis.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Order Processing (Domestic/International):Collaborate with EDI department to resolve any issues that would impede the flow of the order into AxaptaVerify EDI incoming orders for item accuracy (case packs, pricing etc when system flags order)Verify EDI incoming orders for inventory availabilityUnderstand and utilize Axapta alert flagsUnderstand and utilize EDI order types and sub order typesUnderstand and utilize Fill and Kill Rules within AxaptaUnderstand the PKMS/WMOS systems to monitor status of orderCollaborate closely with Sales Manager(s) to ensure orders successfully fulfilled within ship window timelineCollaborate with appropriate Account Administrator on Customer Trade Agreement pricing issuesPerform due diligence on preliminary and specific information in regards to an allocated itemCollaborate with Allocation Specialist on all allocated items to ensure meeting the ship window of order(s)Collaborate with Allocation Specialist in regards to the reserving of inventoryCollaborate with Sales Manager if issue arises on allocated item to resolve discrepancy immediatelyCollaborate with Planning if inventory issue arisesCollaborate with Sales Forecasting Analyst to reconcile forecast to orders when necessaryCraft, submit and track progress of Re-packs when necessaryCollaborate with the Promotions DepartmentIf item on order cannot be fulfilled, analyze and suggest a possible replacementIf approved by Sales Manager, work directly with account to resolve order issueCollaborate and receive appropriate approval with Sales Manager if order or item on order should be cancelledCollaborate with Warehouse if shipping issues ariseSupply tracking information if necessary and requested by accountBe knowledgeable at all times of all accounts’ order status Understand and facilitate payment of orders when neededConfirm all HK orders immediatelyLearn all facets of change management within AxaptaUnderstand and facilitate Letter of Credit when neededFoster a strong, positive relationship with associates in HKIf manual order, input to Axapta same day received.For manual orders all of the above would apply.Maintain Item Cross Referencing/Mapping Table within AxaptaWork with Managers to update/maintain Order Source Table within AxaptaAny other assigned duties, tasks or requests
Reporting:Understand, run and analyze Cancellation/Modification Report as requiredUnderstand, run and analyze Item/Customer Allocation Report as neededUnderstand, run and analyze Customer/Item Allocation ReportUnderstand, run and analyze Order Fill Summary ReportUnderstand, run and analyze Order Fill Detail ReportUnderstand, run and analyze Customer Fill Summary ReportUnderstand, run and analyze Open Order Report as required and necessaryUnderstand, run and analyze Invoice Report as required and necessaryUnderstand, run and analyze all other Reports deemed necessary
Returns:Collaborate with Sales Manager to obtain proper approvalUnderstand and follow Return Policy per account and MGA PolicyAnalyze Return to ensure its viability and validityInput Return into AxaptaRelay Return number to account and to warehouseTrack Return to ensure its successful completion
MINIMUM EXPERIENCE REQUIRED/PREFERRED 2-4 years of experience in Customer Service and/or Order/Replenishment Management Exceptional Planning and Organizational skillsExcellent oral and written communication, collaboration and presentation skillsProficient with Microsoft Office/Vista including Intermediate/Advanced skills in Word, Excel and AccessExperience with retailer POS systems and EDI (TRU Extranet, Kmart Workbench, Wal-Mart Retail Link, Target Partners Online) helpful but not required.Self-MotivatedPossesses the ability to build strong cross-functional department relationshipsWilling to initiate better processes and proceduresWilling to learn new skillsStrong Analytical skills A positive, dedicated, professional attitude preferredThe ability to work in a fast-paced, ever-changing dynamic company while maintaining a professional attitude and demeanor
