Chevron Asia Pacific Exploration and Production, a division of Chevron U.S.A. Inc., is accepting online applications for the position of Administrative Specialist located in San Ramon, California, through May 16, 2008.Overview:This position reports to Jerri Camara, Executive Assistant to the President – Chevron Asia Pacific Exploration & Production. Provides secretarial and administrative support to the Executive Assistant, President and staff with a high level of independence, initiative, discretion, accuracy and attention to details. Works closely with the President, Executive Vice President, reporting organizations and outside contacts.The successful candidate must be flexible, having strong interpersonal skills and be used to everchanging priorities/tasks. Ability to work under pressure, meet tight deadlines and handle/maintain strict confidentiality of sensitive documents and information is a must. This position must represent the President’s office with a high degree of professionalism to a broad array of contacts within Chevron and with offices of foreign dignitaries. The successful candidate must be able to work effectively with a diverse group of people; possess strong skills in areas of teamwork and communication. The 9/80 work schedule is not preferred but may be an option.Qualifications:Key Job Responsibilities for this position may include but are not limited to:• Reviews, screens, prioritizes and responds to incoming correspondence, email and telephone calls, as appropriate. Maintains trace system for correspondence, projects and action items ensuring deadlines are met. Coordinates travel arrangements including air, hotel and ground transportation for management, staff and visitors. Coordinates passports and visas. Assists with preparation of travel expense reports.• May provide administrative support to the President’s direct reports during short and long-term absences of additional support staff or during on-site/off-site meetings. Also relieves for Executive Assistant, assuming responsibilities during absence. Coordinates logistics, agendas and briefing material for both on-site and off-site meetings and conferences and handles special projects as requested by the Executive Assistant. Handles planning and logistics for functional events, including visits by government officials and dignitaries. • Processes invoices and researches inquiries. Completes expense report forms and reconciles Bank One statements. Manages ProCard purchases and reconciles monthly statements. Sets up and maintains distribution and contact lists.
