Corporate Receptionist

Position Summary

The Receptionist efficiently, effectively and professionally handles all incoming calls and ensures its swift messaging.  This position represents the quality and professionalism of the organization to clients, visitors, stockholders, and employees.Primary Responsibilities

· Answer incoming calls promptly and courteously on a multi-line phone system and direct them to the right position within the organization.

· Answer basic, routine questions; closes calls in a quick yet courteous manner.

· Convey a helpful, professional demeanor; act as a representative of the organization.

· Greet incoming visitors and guests, providing a warm, comfortable, and professional welcome; promptly notifies employee of visitor; conveys messages between parties.

· Maintain knowledge of and enforce building security procedures.

· Maintain a tidy, clean, and professional atmosphere for guests and visitors.

· Provide simple, easy-to-understand directions to the office.

· Screen calls as requested and forward messages.

· Ensure deliveries reach their destination promptly.

· Sort and date stamp mail as received.

· Perform simple word processing assignments, such as correspondence, memos, letters, and agendas; update reports and other materials.

· Schedule appointments and coordinate logistics for meetings and activities.

· Coordinate conference calls.

· Handle the reservation system for meeting and conference rooms.

· Perform other duties and special projects as assigned by management.

Qualifications

Education:

· High school degree or educational equivalent is preferred.

Professional Experience:

Skills – Technical:

· Must have experience providing reception duties on multi-line phone system.

· Working experience in the offshore drilling industry is preferred.

· Intermediate skills in word, excel and other applicable database programs helpful.

· Strong organizational skills.

· Ability to handle multiple, and often conflicting, priorities at one time.

Skills – Communication:

· Strong written and verbal communication skills, and proven people and organizational skills.

Skills – People:

· Effective interpersonal skills.

· Advocate of team concept.

· Commitment to customer service and ability to work in a team-oriented environment.

Licenses, Certifications, Credentials, or Other Requirements:

· Must pass pre-employment and random drug tests.
