Office Manager
We are in an active search for an Office Manager that possesses excellent supervisory skills, a strong background in accounting fundamentals, bookkeeping and computerized payroll for this newly created (start up) Toshiba America subsidiary. Our Office Manager will play a critically important role in ensuring the effective and timely work flow within and throughout administrative and accounting teams. Strong time management, critical thinking, initiative, flexibility and outstanding ability to adjust quickly to handle multiple priorities are all important in this position.

You demonstrate a wide degree of creativity and rely on experience and judgment to plan and accomplish goals. Familiarity with a variety of the administrative and accounting concepts, practices, and procedures is a must.
Your responsibilities will include but are not limited to:
Manage and organize office operations and proceduresSupervisor to Reception and Billing, if applicable.Coordination of AR, AP, computerized payroll processing.Accounting journal entries - including reconciliations of payroll related GL accountsRecord Bank wires for A/R processingWrite checks for miscellaneous purchases and mid cycle payroll checks as requiredSend outgoing wire transfers when neededCollectionsAdminister wage garnishments Manage the distribution and inventory of the company cell phones, Company Visa, cards, and computers. Assure compliance with all federal and state payroll tax requirements and file all required paperwork with the appropriate state agencies.Preparing year end W-2'sMaintains office equipment and monitors purchase and lease contracts. Establish, modify, implement, and monitor systems and procedures to enhance timely and efficient workflow.Coordinate and assist visa acquisitions for expatriates and temporary visitors (those on business trips).Administer company cars.Manages office petty cash fund and reimbursement procedures.Ambassador of Toshiba’s core values and commitment to excellence through Quality, Teamwork, Communication, and Innovation.
ESSENTIAL SKILLS, KNOWLEDGE AND EXPERIENCE:
-3+ years payroll accounting and processing experience
-4+ years experience in office administration and/or general accounting
-Very strong computer skills, particularly Microsoft Excel, Word, PowerPoint and Outlook programs.
-Excellent business communication
-Must possess high level of flexibility, self-motivation and professionalism
-Organized team player with the ability to handle varied and multiple tasks in a fast-paced environment.
-Ability to clearly communicate to employees within all levels of the organization
-Prior experience in a global manufacturing industry preferred but not necessary
-Bi-lingual – Japanese is preferred but not necessary.
-Knowledge of ADP payroll system a plus.
