Administrative Assistant II

ADMINISTRATIVE ASSISTANT II, Engineering Systems Division (part-time, 30 hrs/wk.), to provide administrative and secretarial support for the Center for Engineering Systems Fundamentals and its director. Will plan and coordinate a variety of meetings, seminars, conferences, consortiums, and special events; and manage content of web pages and administration of center's finances. Duties include reviewing, reconciling, and monitoring monthly account statements; assisting with creating pre- and post-proposal documents (e.g., biographical sketches, publication listings, protocol applications, and progress reports); processing and tracking purchase orders; processing accounting documents (e.g., requisitions, journal vouchers, travel advances, and requests for payment); and maintaining systems for relevant materials to allow for easy retrieval. Other duties include typing and editing papers, letters, and documents; handling correspondence; filing; photocopying; maintaining and tracking files, records, and papers; preparing course materials including Stellar course web sites; making complex travel arrangements; and performing other administrative tasks and/or assisting with special projects as requested.

REQUIREMENTS: five years of related experience and excellent organizational and communication skills. Seek highly motivated individual who is able to effectively multitask and work proactively in a busy office environment with frequent interruptions. Excellent grammar and proofreading ability required. Must demonstrate advanced computer skills using SAP, Word, PowerPoint, Excel, and web editing software. Should be able to identify and learn new programs and software skills as necessary. Ability to handle multiple concurrent tasks expected. MIT experience and a bachelor's degree preferred.
