Education: Incumbent must possess a High School Diploma or equivalent plus three years clerical experience or an Associates Degree plus one year clerical experience. In addition, the incumbent must be able to demonstrate experience using word processing and database management software. Experience/Skills: Incumbent must be able to perform a combination of clerical and administrative duties under direct supervision, using communication skills to confer with employees at all levels within the organization, and performing a large volume of work requiring a high degree of accuracy. Other requirements: Must be a US citizen. Position requires the ability to pass and maintain a Security Clearance, current driver's and forklift license. Job Description : Provides effective and efficient pre-purchasing and administrative support of the purchasing function. 1.Routinely exercises independent judgment concerning requisition disposition to include termination for Default, consideration for late shipments.2.A major portion of the position involves checking status and reviewing material and service purchase requisitions (PRs) to be purchased; a) Reviews adequacy of information, coordinating with originator or technical specialist to clarify details of the requirement, ensuring all necessary information is included on the PR; b) Processes purchase requisition in MAXIMO procurement module. Notifies buyer that there are material or service requirements in MAXIMO; c) Directs working relationship with Vendors to ensure that supplies and equipment are shipped on the specified date; and d) Coordinates with Receiving to ensure deliveries are processed and delivered within specified dates.3.Researches and contacts vendors for quotations for small supply actions. Has knowledge of government regulations effecting purchasing.4.Compiles documentation to establish procurement files. Maintains filing system Prepares e-mails, letters and reports related to inquiry activity and posting of requirements.5.Manages overall workload to assure effective follow-up of contract items; reviews requisitions received from buyers; prepares status updates and provide information to USG and FMS customer 6.Performs data entry to close out purchase orders.7.Maintains the distribution system for all correspondence.8.Maintains a suspense file for documents such as RFQs, subcontracts and modifications9.Prepares correspondence to subcontractors/vendors and internal personnel.10.Establishes and maintains good working relationships with customers and vendors.11.Conducts self in the appropriate manner to project a professional image for the company through business contracts.Perform all other position related duties as assigned or requested. hjlsi06eggcb20xurs09x : : EOE M/F/D/V
