Marketing and Administrative Assistant
Provide support to the Oak Ridge Center’s Marketing Information Specialist in preparation of proposals in support of the Security and Protective Services Group’s (SPSG) marketing and business development efforts. Primary duties will include preparation of proposals, brochures, PowerPoint presentations, conference materials, and other marketing materials. A. Specific marketing assistant duties include, but are not limited to: A-1. Word processing; A-2. Technical editing; A-3. Proposal layout; A-4. Internet and intranet searches; A-5. Reproducing and assembling proposals; A-6. Graphic design; and A-7. Organizing and maintaining proposal and marketing files (including team resumes, job descriptions, client assessments, and previously submitted proposals). B. Secondary marketing assistant duties will include, but are not limited to: B-1. Submitting business development and proposal development funding requests; B-2. Submitting organization conflict of interest query requests; B-3. Scheduling and prioritization of document production tasks; B-4. Ordering document production supplies; B-5. Copying, collating, and performing quality and accuracy checks for “camera ready” documents; and B-6. Packing and shipping documents (including preparing shipping labels and tracking shipments). C. Primary administrative assistant duties will include, but are not limited to: C-1. Assisting with travel arrangements, interacting with Tetra Tech’s travel agent, and processing travel and expense reimbursement requests; C-2. Tracking project costs (i.e., preparing and updating spreadsheets and summary tables); C-3. Assisting in preparation of monthly project reports; C-4. Creating and maintaining project files; C-5. Maintaining the SPSG web-based and Microsoft Outlook calendar; and C-6. Other general office administrative tasks as assigned by SPSG personnel (i.e., Typing, copying, filing, scanning documents).
An Associate degree and/or equivalent experience performing similar duties in an office environment is required.Candidates must have 5+ years office environment experience. Candidates must have excellent organization and communication skills. Candidates must work well in a team environment, be customer focused, and have a helpful attitude. Also must be able to multi-task, prioritize commitments, and manage time effectively. Good computer skills and intermediate-level proficiency with Microsoft Word, Access, Excel, PowerPoint, Publisher, and Outlook is required; Adobe Photoshop and Illustrator experience is a plus.
