Administrative Assistant in Purchasing!!
Description:
The Administrative Assistant provides administrative support to the VP Procurement and contributes to the efficient operation and performance of the department. Orders and tracks all wireless equipment for Madison Square Garden, Radio City, MSG Practice Facility, the Beacon Theatre and the Chicago Theatre. Answers and screens telephone calls, handles basic inquiries, Receives and directs visitors, distributes mail, maintains departmental files/records and schedules & maintains the Vice President’s calendar of appointments and travel itineraries. Prepares any necessary information for meetings, distributes minutes, compiles reports, and prepares and proofreads correspondence, reports and other materials. Utilizes various PC packages such as worksheets, word processing, and graphics to produce high quality reports, presentations, or other documents. Acts as liaison between the Vice President and direct reports as well as internal and external contacts. Responsible for ordering and maintaining office supplies for the department and ensures that office equipment works properly. Coordinates repair requests with facilities and outside vendors. Tracks all copier lease agreements; maintains electronic catalogs in the automated purchasing system, tracks existing RFQ’s and contracts, and informs the VP Procurement of the expiration dates of RFO’s and lease agreements. Assists in special projects and duties as assigned.
Qualifications:
Ideal candidate will have at least 1 to 3 years of administrative assistant experience. Will possess basic knowledge, and proven experience, in Microsoft Office applications such as Outlook, Word, Excel, Access, and PowerPoint. Must have effective oral and written communication skills and have the ability to interact with different levels of management. Will be well organized, detail oriented with the ability to work in a fast paced environment and maintain highest degree of confidentiality. Must be flexible to work overtime on short notice.
