Executive Assistant
Executive Assistant to CEO & CFO (SLO VIP Ticketing Services) RESPONSIBILITES: Provide administrative support to CEO & CFO including, but not limited to, scheduling meetings and conference calls, maintaining calendars, preparing correspondence, memos, schedules, documents and reports utilizing computer software. Perform routine clerical duties such as copying, filing, faxing and mailing. Prepare extensive domestic and international travel arrangements including air, hotel and transportation reservations, mileage programs and upgrades with the ability to make frequent and last minute changes. Manage the CEO’s calendar/schedule and ensure calendar is reviewed on a daily/weekly basis. Receive, screen and follow-up all communications (phone, email, mail). Compose letters, notices and e-mail responses, as appropriate. Create and maintain filing systems (i.e. address book, show files), both electronic and paper. Prepare and track expense reports, code receipts/disbursements. Coordinate and process ticket orders (personal, business, charity). Keep record of staff vacation and time out of office. Take minutes at staff meetings. Contact for building maintenance. Process documents of a legal and confidential nature. Assist with preparation of financial information as directed. Manage special projects and coordinate special events, as needed. Assist in non-business related personal areas. Perform other duties as assigned by CEO & CFO. REQUIREMENTS: Minimum 5-7 years experience working in a corporate environment providing executive level support. Ability to multi-task, work on numerous projects simultaneously and use sound judgment in prioritizing tasks to meet deadlines. Excellent verbal and written communication skills. Highly organized with meticulous attention to detail. Strong computer skills and in-depth working knowledge of MS Office/Windows. Ability to interface with all levels of the organization and maintain confidentiality. Proactive, anticipate needs and take initiative, require little direction.
