Accounting Specialist

Accounting Specialist
Under general supervision of the Financial Services Supervisor to process the total Accounts Payable functions. Processes all facets of the Accounts Payable function: Date stamps incoming payment authorization memos (PAM's), invoices and purchase orders; matches invoices with purchase orders and PAM's; prepares documentation to be entered into computer system to post to the appropriate accounts; reviews accounts payable (AP) edit, runs AP checks, cash, disbursement report, and check register; and signs checks through automatic check protector; prepares checks and source documents for review; mails checks; stamps AP source documents “paid”; files AP documents alphabetically and by special category. Monitors all purchase orders and PAM's to be sure correct account numbers are used and proper purchasing procedures are followed; refers all purchasing procedure violations to the purchasing manager. Assigns all new vendor numbers and maintains current list of vendors; reviews vendor statements monthly and resolves any problems. Monitors completion of travel vouchers; inputs data into computer. Sends W-9 forms to all new vendors for information needed for 1099 forms; enters W-9 data into computer; prepares and mails 1099's at end of the year. Prepares various department paperwork and forms. Responsible for weekly and month-end posting of all computer modules. Assists in year-end closing process and annual audit. Assists with special projects as needed. Prepares various reports; answers telephones; greets visitors; gives out various information. Maintains departmental files. From time-to-time, incumbent may be assigned to perform extra job duties that are directly, indirectly or completely unrelated to their normal job functions in the course of presenting the designated special event(s).
Hours: 8:00 am-5:00 pm Monday - Friday
Starting Salary: $14.39/hr or $29,931/yr

Minimum Requirements
All positions require a clear background, clear pre-employment drug screen, valid Texas driver’s license and safe driving record.
High School diploma or equivalent. Prefer some college.
Two years accounting/accounts payable related work experience.
Must be computer literate and proficient in Excel and Word.
Considerable knowledge of general office procedures such as filing, bookkeeping, and records maintenance.
Good numerical skills.
Meticulous attention to detail.
Valid Texas Drivers License.
Ability to deal courteously and efficiently with citizens and fellow employees and to exercise tact and good judgment.
