Administrative Specialist
Provides general office and administrative support to Technology management and staff. Performs work under very limited supervision. Procedures and methods are usually not specified.
Screens calls and responds to routine questions. Obtains and exchanges information. Schedules meetings and coordinates travel arrangements.
Operates a variety of office equipment (e.g., personal computer, calculator, photocopier, facsimile, optical scanners, etc.). Facilitates repair or trouble-shooting for office equipment. Orders supplies for the department.
Maintains files and records. Opens, screens, and distributes mail. Prepares forms, letters, memos and reports, using word-processing software. Performs various document formatting (e.g., merges, sorts, footnotes, setting tabs, centering, etc.) using word processing software.
Composes routine and non-routine correspondence for manager’s review.
Collects, compiles, and analyzes data from several sources of information. This may include conducting research or compiling information for monthly, quarterly, or annual reports. May use established database software to run standard reports or perform basic inquiries.
Develops spreadsheets using multiple function formulas. May import, export, or link spreadsheets or word-processing documents to other software applications. Prepares Power Point presentations. Uses software to maintain Org Charts.
Prepares and tracks invoices for payment, including for consultants, software, etc. Prepares and verifies Expense Reports for submission. Handles confidential HR-related paperwork including matters pertaining to compensation, counseling, and employment status.
Other tasks and projects as assigned by management.
QUALIFICATIONS:
Must have at least 4 years general office and administrative experience. Strong organizational skills and written and verbal communication skills are required. Knowledge of personal computer and software applications (e.g. word-processing, spreadsheets, etc.) is required.
