This position reports directly to the CEO of the firm and also manages the administrative staff. As the Administrative Supervisor to the Chief Executive Officer, you will perform a diverse secretarial duties and administrative functions requiring confidentiality, initiative and sound decision-making for a manager while managing an administrative staff.You will rely on excellent organizational skills and the ability to effectively handle multiple priorities.  You will need to adapt procedures, processes and techniques to the completion of assignments and in line with the department's activities and goals. Duties may be expanded to include coordinating meetings, coordinating travel arrangements, preparing presentation materials, ordering and maintaining supplies, submitting expenses and/or review incoming correspondence and prepare responses.  Additionally, you will exercise independent judgment, escalating serious or unique problems to higher levels.  You may provide direction and guidance to less experienced team members.  The individual will field and screen telephone calls, organize correspondence and reply as necessary, handling of the calendar maintenance and management responsibilities for the CEO, while coaching and mentoring your administrative staff and recommending development programs where necessary. The ideal candidate will prepare presentations for internal and external audiences, coordinate reports, business plans and other documents and conduct research as assigned, while supporting senior management in a large corporate environment. You will collect and prepare information for use in discussions/meetings of the senior leadership team and correspond/communicate in a professional manner, regularly with high-level contacts regarding topics of a sensitive nature both within Raymond James and externally. Position Responsibilities:  Performs supervisory activities, including identifying performance problems and seeking guidance for remedial action; reviewing performance; and participating in interviewing and selecting staff. Plans, assigns, monitors, reviews, evaluates and leads the work of others, while coaching and mentoring subordinates, while identifying training needs and recommending development programs. Assists in preparing and presenting operational budgets for assigned functional area, including interpreting and applying organizational policies and procedures. Participates in establishing objectives and developing processes and procedures to ensure efficient and timely work flow. Performs periodic reporting on work progress, project completions and additional ad-hoc reporting as needed. Effective in your coordination within/and of the assigned work group and with other work groups. Desired Characteristics:· Understands and has a working knowledge of investment concepts, practices and procedures that are used in the securities industry, to include: the principles of banking and finance operations and financial markets and their products. · Willingness to secure a Series 7 license within the first 12 months.· Bachelor’s Degree in Business Administration or other discipline related to the assigned functional area and a minimum of two (2) years experience in assigned function, including one (1) year in a supervisory role or an equivalent combination of education, training or experience.· ~ or ~ a minimum of 5+ years of direct work experience in a large corporate environement supporting senior management.· Demonstrated experience collecting and preparing information for use is meetings with senior level leaders.· Established experience working with, managing and developing administrative teams.·   The candidate exhibits influential facilitation skills to include the facilitation of meetings to ensure that all viewpoints, ideas and problems are addressed, while incorporating the needs, wants and goals from different business unit perspectives into operational processes. · Strong communication and interpersonal skills giving you the ability to read, interpret, analyze and apply information from job-related publications, while establishing and maintaining effective working relationships at all levels of the organization.· Works independently as well as collaboratively within a team environment as you lead others in providing a high level of customer service.
