Back Office Specialist I
Job Description: Perform trade settlement, dividend/distribution processing, reconciliation and resolution under minimal supervision for all mutual funds within multiple moderately complex to complex client relationships. Ensure procedures are followed timely and accurately to minimize financial exposure. Provide training and contribute to process improvement initiatives.Research, reconcile and resolve cash and position discrepancies of moderately complex to complex in nature with minimal supervision.Ensure dividend/distribution announcements are received, payments are prebalanced, posted and collected timely and accurately. Resolve moderately complex to complex discrepancies timely minimizing financial exposure.Analyze settlement and trading reports for discrepancies. Takes appropriate action to resolve discrepancies timely and accurately minimizing financial exposure.Communicate with internal and external departments to ensure accurate fund set up, problem resolution, and system testing.Provide training, recommend and follow through on system enhancements and process improvements. Significantly contribute to projects and initiatives. Skill Requirements:Demonstrates advanced understanding of primary duties and the advanced skills required to accomplish them accurately, safely, and more rapidly than others in general. High school diploma or equivalent. Presents to or exchanges information with members of own department and occasionally outside of the work group. Participates in group meetings to exchange status, data, etc. Responds to moderately complex inquiries. Relays to, and gathers routine information from employees and/or outside vendors, customers or the public. Develops agendas/programs. Composes routine correspondence and documentation within area. Prepares, formats and edits routine to complex documents. Composes routine correspondence. Maintains effective contacts within PFPC at various levels in the organization. Begins to build external client contacts and is regularly available and responsive to their interpersonal and business needs. Regularly provides guidance to and assists in training team members. Errors have significant impact. May result in expenditure of additional time, resources, and funds and impact the department’s ability to achieve objectives. Demonstrates ability to troubleshoot all equipment/processes. Identifies errors or problems and investigates; recommends solutions to team members. Works under general direction. Selects among or recommends new methods and procedures for new work assignments. Supervision received is primarily to share ideas on work performed. Additional Preferred Skills:Proficient in MS Office - Word, Excel & Access. Mutual Fund and/or Securities Industry experience a plus.
