JOB PURPOSE:

This position works with all areas of Distribution and Marketing Support, and is knowledgeable of mail processing, literature fulfillment, the research functions of the department and invoice processing.

ESSENTIAL RESPONSIBILITIES AND JOB RESULTS:

• Retrieves system created fulfillment orders and labels and prepares appropriate packages for mailing to shareholders, brokers or back offices.
• Tracks missing orders and takes appropriate steps to resolve outstanding orders.
• Prepares special in-house kits
• Assists with the unloading and storage of material from vendors
• Accepts and signs for the daily delivery of overnights and other packages from a variety of vendors
• Assists with the pick up and delivery of all Calvert mail as well as internal sorting of incoming mail
• Helps to maintain the Pitney Bowes/UPS mailing equipment
• Prepares outgoing mail and maintains log of postage costs by fund/department
• Coordinates courier requests
• Assists in research for shareholders – requiring familiarity with record retention of old and new Calvert documents
• Familiar with Calvert products and able to assist in communication to mail house and transfer agent for timely processing of regulatory mailings
• Process and pay all incoming UPS, ZOOM, FedEx and Central Delivery invoices
• Process Calvert Daily Check Writing Returns and all other associated functions
• Assist with all legal mailings
• Assist with the processing and paying of legal mailing invoices
• Orders and maintains supplies for the department
• Assist with quarterly marketing material ordering and inventory
• Serves as a resource person for department procedural and product questions


SKILLS, KNOWLEDGE, EXPERIENCE REQUIRED TO PERFORM JOB:

• College degree or 2 years college and 2 years related experience required
• Basic computer skills required with knowledge of excel and Microsoft outlook
• Previous experience in a literature mailing operation preferred
• Previous experience with maintaining inventory helpful
• Ability to work under pressure and meet deadlines
