Executive Administrative Asst to EVP of HR 70k-80k
Kelly Services is currently recruiting for a Stellar Executive Assistant for one of our most Valued and Prestigious customers in the Livingston area. The company we support seeks a Direct Hire Executive support person ' 70K-80K depending on experience. The ideal candidate will need to display a well-rounded personality; one who is highly detail oriented, a go-getter, and has the ability to take total accountability in managing the executives' daily activities. The person we seek to represent will be able to be a forward, critical thinker, capable of managing complex calendars and understanding what meetings should be accepted or declined based on current projects and objectives. The person should have some off site meeting planning experience, someone hungry to do some project management and the ability to manage change- one supervisor will change every 18 months. Responsibilities include but are not limited to: Calendar Management, Phone coverageT&E Budget Tracking, Domestic and International Travel Arrangements, Ability to work under pressure and deadlines, Handle confidential matters appropriately and with discretion. Multi-task: prioritize with appropriate sense of urgency, Provide customer service to both internal and external clients, Excellent Verbal and written communication skills. The person we seek will have Meticulous and extensive calendar management; scheduling of detailed senior level, multi-party meetings as well as complete travel arrangements (domestic & international) Preparing daily binder of scheduled meetings for the next day (ensuring that all meeting materials are received 1 day prior) Will frequently coordinate interaction with board of directors and their offices Planning and coordinating weekly staff meetings and other team meetings/events (includes ensuring food & beverage / audio visual requirements are in place) Working independently with a minimum level of supervision; frequently handling confidential information Composing correspondence and preparing presentations; post presentations and org. charts to intranet site as needed Additional duties include preparing and reconciling T&E expenses, processing invoices in a timely manner, maintaining office files, procuring office supplies Must be a team player dedicated to departmental goals and committed to continuous improvement Must be extremely efficient with Microsoft Outlook and have extensive experience in managing a senior executive's calendar Must be able to work efficiently in a fast-paced environment and be able to juggle multiple priorities; thinks quick on feet Excellent organization skills including time management, prioritization, meticulous follow-up with attention to meeting critical deadlines Must be able to exercise judgment in working with sensitive and confidential information Proficient typing skills, excellent verbal and written communication skills, and interpersonal skills Ability to be proactive; manage end-to-end project and processes and identify solutions Must be able to multi-task with constant distractions Proficient use of MS Office Outlook, PowerPoint, Word and Excel, LiveMeeting Associates or Bachelor's Degree preferred Minimum of 5 years experience in providing administrative support to a senior level executive.Only candidates being considered will be contacted.
