Executive Assistant - V/C firm - non-profit start-ups!
Here is the opportunity to work for one of the coolest venture capital firms in town - they're making things happen in the high tech space and continue to experience explosive growth. Provide comprehensive professional and personal support to a Partner who is also an independent investor sitting on a number of for-profit and not-for-profit boards. Provide secondary support for another investment professional at the firm. Responsibilities include a range of diverse and confidential duties requiring broad experience, skills and knowledge of organizational structures, policies, and the nuances inherent in this position. Must be able to exercise sound judgment, tact and diplomacy at all times.Extensive calendar management. Needs to anticipate meeting requirements and schedule prep and follow-up meetings with appropriate personnel. Requires gaining an understanding of the needs of the executive's business priorities and managing his calendar accordingly. Board of Directors liaison: work with admins. and other board members to set annual master calendar; help prepare and distribute meeting materials; establish and maintain excellent working relationships with Board Members and their support staffs. Handle all logistical arrangements for board meetings.Research and book all travel arrangements; prepare expense reports accurately and in a timely manner. Screen incoming calls; take messages and assist with timely follow-up; transcribe voice mail messages.Manage all correspondence and handle as appropriate. Monitor e-mail for high priority and time-sensitive matters. Represent the Executive(s) to all constituents in a professional, cordial manner. Personal support includes managing matters with financial planners, attorneys, CPA, multiple insurance agents; check writing and reconciliation of personal bank accounts and records; assisting with quarterly and annual tax return preparation; and arranging family travel.
Position Requirements
3+ years experience working with senior management, and Boards of Directors; Excellent organizational skills; outstanding communication (verbal and written) skills; Demonstrated professional maturity (discretion, flexibility, and self-starter able to work with minimum supervision); resourceful and adept at problem solving; Must be a team player; strong computer skills including Word, PowerPoint, Excel, and Outlook calendar and e-mail applications. Ability to work extended hours when necessary. Bachelor's degree required.
