We are seeking an Administrative Assistant to provide leadership and direction for our Milwaukee, WI Branch.
The Administrative Assistant will be responsible for, but not limited to, the following:
GENERAL DUTIES
· Answers all incoming calls timely, professionally and courteously. Assures that each incoming call received during regular business hours is answered by a Loomis employee.
· Distributes incoming faxes to appropriate party as they come in.
· Directs calls to the appropriate department and/or person.
· Handles all aspects of word processing including formatting and proofreading with speed and accuracy.
· Works closely with Branch Manager, Human Resource Manager, for correspondence and other projects as required.
· Schedules all travel arrangements for employees and new hires, including airfare, rental car / other transportation, and hotel reservations.
· Completes filing for Human Resource including paperwork for new hires, completed new hire packets to region and D.O.T. files to J&J Safety, vacation requests, and other misc. HR paperwork as assigned
· Orders and maintains office supplies.
· Prioritizes and organizes duties to meet daily, weekly and monthly requirements as set by Area General Manager, Branch Manager, Area Operations Manager, Area Human Resources Manager and Area Controller.
· Open, distribute and process US Mail / DHL
· Maintain Birthday and Anniversary Program
· Performs other duties as assigned or prescribed by the Area General Manager, Area Operations Manager, Area Human Resources Manager or Area Controller.
SKILLS AND QUALIFICATIONS:
· Working knowledge of Microsoft Office programs including Word and Excel.
· Professional, courteous and tactful phone and people relations, both internally and externally
· Work well individually and as a team player exhibiting a positive attitude
· Ability to problem solve with accuracy and detail
· Ability to work efficiently and effectively in a multi-faceted environment requiring little or no supervision
· Ability to identify and maintain confidential matters in all aspects of the business
