Human Resources Assistant

Matrix Financial Solutions, Inc., formerly known as MG Colorado Holdings, Inc., through its wholly owned subsidiaries, is one of the nation’s largest providers of back-office, trust, custody, trading and mutual fund settlement services for financial institutions, including banks, trust companies, registered investment advisors and record-keepers/third-party administrators (TPAs). Matrix Financial Solutions currently serves more than 260 financial institutions by servicing $90 billion in assets through its trading and trust platform.  We are looking for a Human Resources Assistant.

General Purpose:  To assist the HR department with all Human Resources objectives for the company.

 

Essential Duties and Responsibilities:

 Employment

 Assist in maintaining up-to-date job descriptions for all non-officer positions with periodic review of any claim of exemption. Provide hiring support for new personnel to management staff for all subsidiaries of Matrix Financial Solutions, Inc. Prepare new hire information packets and conduct initial new hire orientation. Ensure that every new hire completes an I-9, W4, application form, and employment agreement.  Where applicable, ensure completion of Fair Credit Reporting Act forms and U4/U5 forms. Maintain personnel files that include the application, job description, reference check, credit check (if applicable), interview information, payroll information, compliance paperwork, benefit forms, employee reviews and personnel action forms. Monitor annual review schedule for all employees. Meet with separating employees to provide COBRA and 401(k) information.Benefits

 Maintain benefit files that include benefit election forms or waivers and 401(k) election forms. Verify accuracy of information and update information for all benefit carriers. Update benefit information when necessary for existing employees and input benefit information for new hires. Facilitate the open enrollment process each year by notifying employees of deadlines, distributing information, answering employee questions, and ensuring responses from employees on a timely basis. Ensure that all COBRA notices are sent on a timely basis. (ADP COBRA) Assist employees with applications for short term disability claims and requests for leaves of absence.

 Other DutiesProvide additional administrative support to both Legal and Compliance teams.

Minimum Requirements:

 

Education:    High school diploma. 

 

Experience:  Three years of experience in an administrative position or in a human resources support position with responsibility for oversight of employment or benefit procedures, or of similar procedures that require the management of highly confidential information.
