Investment / Financial Planning Assistant

Responsibilities:

·  Coordinate the flow of professional promotional materials through company internal review process (Regulatory, Medical, and Legal).

·  Ensure adherence to company Standard Operating Procedures.

·  Receive submission packets from outside agencies and distribute to internal reviewers.

·  Prepare and distribute agenda and minutes for each review meeting.

·  Attend review meetings and record changes on master copy of materials.

·  Collaborate with Marketing product managers and ad agencies to reconcile changes to materials.

·  Manage agency preparation of submission packets for products requiring pre-clearance.

·  Proofread final laser proofs. 

·  Coordinate final approval of printer proofs as required by Manager, Marketing Services.

·  Ensure delivery of printed samples to Regulatory for submission.

·  Maintain filing system of approved jobs.

·  Participate in ad agency weekly status meetings.

·  Execute special projects as required by Director, Marketing Services.

 

Requirements:

Ø  2 to 3 years traffic coordination experience in pharmaceutical industry or ad agency.

Ø  Bachelors degree preferred; preferably in Business Administration or Marketing.

Ø  Highly motivated self-starter with strong project management skills.

Ø  Ability to perform in a fast-paced environment.

Ø  Strong proofreading skills.

Ø  Strong written and verbal communication skills, as well as interpersonal skills.

Ø  Proficiency in Microsoft Office applications.
