Manages and directs all client support and reconciliation functions for the Institutional line of business. This includes developing infrastructure to support the growth projections and enhanced complexity of new product offerings and asset class investments made by FWIA. Specific emphasis is placed on developing, implementing, improving, and overseeing operating processes and procedures. Position Requirements:PerformanceReviews and approves daily production of accurate and timely portfolio and composite performance results. Establishes, implements, and manages daily policies and procedures of the Performance Department to meet the needs of portfolio management, marketing and senior management and be compliant with regulatory rules, laws and requirements. Document all activities to produce audit trails for internal and external auditors.Works with minimal supervision and is responsible to make an established range of decisions, escalating to manager when necessary and updates manager on a regular basis.Position ResponsibilitiesInstitutional• Manages all aspects of the daily processing of security transactions to ensure completeness and accuracy. • Develops, directs, and maintains procedures for processing complex products and securities such as derivatives, securities lending, international securities, and leveraged loans. This includes evaluating risks and impact on the business from an operational standpoint.• Provides technical guidance and leadership for direct reports on daily system issues that arise, including complex security setup, transaction processing and settlement.• Researches, recommends and implements processes to handle new security types such as derivatives and foreign investments and new products such as enhanced cash.• Manages distribution of workload across staff and evaluates current and projected staffing needs against the operations department’s business plan.• Manages the service relationship and delivery of accurate and timely financial information to internal and external clients including portfolio managers, research analysts, consultants, marketing associates, and relationship managers.• Manages all human resource related issues (hiring, training, coaching, compensation and personnel development) for direct reports.• Oversees daily and monthly pricing process.• Oversees daily and monthly reconciliation of transactions and holdings between FWIA, Bloomberg and custodian banks.• Develops, maintains, and oversees new account and discontinued account processes, incorporating needs of client services, portfolio management, and marketing.• Develops and ensures the documentation and maintenance of detailed procedures for all institutional account processes.• Oversees the coordinates testing and installation of future system upgrades and hot fixes applied to portfolio system.• Works closely with compliance department to oversee and ensure accounts are within established compliance standards.• Oversees all appropriate client correspondence as well as permanent and compliance files.• Oversees/participates in all necessary regulatory filings, including 13(f), 13(g), and Form ADV.Performance• Reviews and approves portfolio and composite performance on a daily and monthly basis. Directs research of questionable returns and manage appropriate resolution.• Ensures performance composites are maintained in accordance with GIPS Standards.• Develops, reviews, and maintains comprehensive daily and monthly attribution reporting to portfolio managers and FWIA senior management for significantly enhanced and complex analysis of portfolio performance.• Manages appropriate documentation for additions, deletions, and transfers of portfolios within composites.• Manages coordination of annual audit of performance results with external auditor.• Works closely with Marketing to produce and enhance gathering of performance returns for marketing brochures, new client presentations, requests for proposals, consultant questionnaires, etc.• Determines reporting needs of portfolio managers and credit analysts and oversees design and implementation by WS Systems.• Creates and refines definition of reports used as analytical tools to verify accuracy of performance data.• Oversees daily import of benchmark data, such as S&P 500, Barra, Lehman, and custom benchmarks. Peripheral Job Functions:• Works closely with AVP, Investment Operations on various special projects, such as integration of new acquisitions and ongoing evaluation of internal controls.• Assists in all internal audit, GIPS, SEC and NASD examinations as needed.• Works with other areas within the Enterprise (i.e. Investment Accounting, Cash Management) to ensure smooth transfer of information.• Assists in the development and monitoring of departmental budgets.• Performs other duties as assigned by management.Selection Criteria• Proven understanding and experience of the financial services industry as well as proven direct management experience. • Possesses & demonstrates excellent verbal and written communication skills; demonstrated ability to work across organizational boundaries and effectively build relationships inside and outside of the organization (e.g. Clients, CIO, CEO, Portfolio Managers). • Proven ability to interpret financial statements and apply a broad business perspective in summarizing results; demonstrates in depth knowledge, understanding and experience interpreting, utilizing and applying GAAP accounting rules and regulations• Demonstrated experience working independently. Experience must include identifying and resolving problems where independent decision-making and initiative were demonstrated. Must provide examples of working under multiple deadlines and with minimal supervision. Must cite examples of successfully organizing and effectively completing projects where given little or no direction.• Proven strong analytical skills, including demonstrated experience identifying and quantifying problems and providing effective resolutions with the ability to conceptualize and use new methodologies. Must be able to cite examples of good decision making skills when dealing with multiple alternatives.• Proven experience in working with complex programs that require identifying complex data and analyzing the quality of the output provided.• Demonstrated business knowledge in accounting, operations, customer service, and computer systems and compliance. • Demonstrated proficient knowledge of investment accounting and processing related to traditional securities and mutual funds for institutional, retail or private equity clients. • Working knowledge of GIPS performance standards.• Possesses and displays excellent verbal and written communication skills with ability to convey information to internal and external customers in a clear, focused and concise manner. Proven experience successfully interpreting and communicating business needs between internal system groups and external vendors clearly.• Must provide examples from work experience of maintaining a high degree of accuracy associated with high volumes of work and/or multiple duties.• Advanced knowledge of portfolio and composite performance calculations.• Demonstrated experience leading and motivating teams in situations associated with high volumes of work and/or customer demands. Must possess strong coaching and effective feedback skills. Provides direction to and development of direct reports through the creation of annual goals and development plans, the administration of the Performance Management Program and daily coaching.• Proven work experience directing others to initiate a recommended course of action to solve a problem or increase efficiency.• Demonstrated experience in customer service or client management. This would include identifying client problems/issues, providing and initiating effective resolutions.• Demonstrated strong project management skills, must cite examples of developing, organizing, initiating and maintaining a project and successful accomplishing set goals.
