Program Administrative Assistant

General Summary:

 

As an integral support member of the Strategic Ventures & Alliances and Technology Units within Global Programs, the Program Administrative Assistant will ensure administrative and operational efficiency for program success by playing a key role and serving as backstop in communications and information management. The Program Administrative Assistant will be responsible for day-to-day administrative operations that relate to the support of the Strategic Ventures & Alliances and Technology Units.

 

Key Areas of Responsibility:

 

General Administrative Duties (75%):

 

· Prepare complex travel arrangements and itineraries to include hotel, flights, ground transportation for Strategic Ventures and Alliances and Technology staff;

· Prepare Visa applications for Strategic Ventures and Alliances and Technology staff;

· Arrange logistics for visitors to the office: hotel, transportation, meeting space, meals;

· Manage schedule for Unit Head and maintain monthly Unit personnel calendars;

· Schedule meetings via telephone, videoconference, and in-person;

· Assist in coordination of and participate in regular Unit meetings, prepare notes and circulate minutes;

· Process notarization and legalization of business documents when required;

· Assist in the creation of Power Point presentations, reports and other documents; and

· Translate documents as needed.

 

Knowledge Management (25%):

 

· Perform content & knowledge documentation support;

· Maintain Units’ paper files as well as files for field staff to include contact information and partner contact information;

· Manage electronic filing system and knowledge sharing on Central Desktop and Stellent;

· Maintain up-to-date partner contact information; and

· Undertake research of secondary sources of information in support of different projects and projects in the pipeline.

 

Qualifications and Requirements:

 

· Associate or Bachelor degree in Business, Communication or another related field.

· At least two to three years of administrative support experience.

· Demonstrated communication skills to include excellent oral and written English language skills and ability to communicate ideas effectively.

· Demonstrated customer-service experience and solid organizational skills.

· Advanced computer skills to include Microsoft Excel, Word and PowerPoint.

· Ability to multi-task and troubleshoot.

· Ability to interact effectively with a variety of people in international and multi-cultural environments.

· Excellent interpersonal and problem solving skills. 

· Fluency in a foreign language desired, ideally in Spanish, French, Mandarin or Swahili.
