Temp-to-Hire Executive Assistant w/Accounting Experience

Loftus & O’Meara Staffing has been providing staffing assistance to top companies in Chicago for 30 years. Our client, a world leader in specialty packaging, is seeking an Executive Assistant with accounting experience to join their team.

The ideal candidate must have a professional demeanor and appearance, a pitch-in attitude, be detail oriented, highly organized, and have a willingness to learn. The ability to take the initiative to streamline and improve processes where appropriate is a must! ADVANCED knowledge of the Microsoft Office Suite a must! Experience in a tax/accounting/financial environment a must!

Responsibilities include: Processing tax filings and reporting, coordinating the tax department filing system, tracking and monitoring of tax filings and processing of tax payments and tracking of tax refundsAssist with the tax department filings with taxing jurisdictionsCoordinate and assist with tax department filings and organization and documentation of filing system Maintain daily calendar and schedule (via Lotus Notes)Arrange travel/hotel/vehicle reservations; expense report administrationReconcile monthly MasterCard statementSet up meetings (staff & others); reserve conference rooms, order lunches, etc.Assist with developing and processing Word and Excel documents and PowerPoint presentationsHandle and process all incoming and outgoing mailAssist in arrangement of travel/hotel/vehicle reservations for managers and staffOrder and maintain departmental office supply needsCoordinate and improve on and off-site tax department filing system/storageProcess check requests for all federal and state tax paymentsCoordination of corporate registrations of the company’s US entities with Corporate Legal Dept.Ordering office supplies and business cardsHandling mail distribution and UPS overnight shipmentsFiling – both electronic and hard copy


Requirements:3-7 years administrative experienceSuperior interpersonal skills - dealing with internal and external personnelDetail oriented, high level of energyWillingness to learn new computer/software skills to support various departmental presentations/projectsCollege Degree preferredExperience within a tax dept. or financial analysis a plusExcellent oral and written communication skills Advanced knowledge of Microsoft Office suite (including PowerPoint)Previous experience working within a database – i.e. Lotus Notes, Access, and ACT!

This is a temp-to-hire position. The temporary rate is $17/hr. and the permanent salary range is $35-55,000. The company is located in the O’Hare area…near public transportation…parking available. Generous benefits package!
