PBE has competitive benefits and is a great place to work. Puente-Brancato Enterprises, Inc. has an immediate opening for an Executive Assistant for our Corporate Office located in Grapevine, TX.

Summary: Provides direct assistance to the CEO and COO in all matters relating to their individual executive functions, organizational corporate structure, community affairs and professional relationships, public relations and the operation of the Executive Office.

Essential Duties and Responsibilities include the following:

• Coordinate and maintain executive calendars for corporate and community activities, tasks and contact lists.
• Organize, schedule and document executive meetings and events.
• Process large quantities of emails and develop an organized system of categorizing, maintaining and purging such files.
• Generate internal and external correspondence, publications, media documents, grant applications and other written materials with clarity and finesse.
• Direct the processing of critical corporate documents, legal agreements, leases and financial paperwork within required time frames.
• Maintain a master file and summary of DFW Airport leases with all pertinent documentation as updates occur.
• Function as a gatekeeper for executive phone calls, email and other means of communication in a professional and friendly manner as well as document and disseminate pertinent information to the necessary parties in a timely fashion.
• Establish a system of managing multiple tasks and projects as directed by executives and develop a method of communicating status reports/documenting action on a daily, weekly and ongoing basis.
• Direct the maintenance of corporate and executive files, including but not limited to, corporate, legal and financial records that allow quick and easy retrieval.
• Represent the executive team in a professional, proficient manner by developing excellent relationships with DFW Airport management, legal and CPA representatives, community leaders, media representatives and other internal and external customers.
• Plan and direct the operations of the Executive Office and oversee the executive office team members in processing daily mail, registration for conferences and events, booking travel and preparing travel documents, inputting and coding monthly executive credit card statements in a timely manner, processing donation requests, maintaining media materials, analyzing management cell phone reports, and other duties as required.
• Assist executives and other team members with projects and other assignments as required.

Skills/Qualifications:
• High school diploma required, college degree preferred
• Excellent working knowledge of Windows XP/Vista, MS Office including extensive experience in Outlook
• Excellent typing skills – accuracy and speed
• Three to five years of executive level administrative experience
• Organized and able to work independently
• Detail-oriented team player with strong work ethic
• Must maintain confidentiality of operations in executive setting
• Ability to multi-task and handle fast-paced work environment
• Professional appearance and demeanor
