JOB DESCRIPTION
POSITION: HR Program Assistant/Safety Coordinator
DEPARTMENT: HR
ACCOUNTABLE TO: HR Manager
QUALIFICATIONS:
Must possess basic knowledge/experience in safety related areas such as Incident Reporting, OSHA Regulations/Recording/Reporting, Processing of Workers Comp. Claims, etc. Must protect the confidentiality of company, payroll, HIPPA and personnel information. Must possess the ability to multi-task. Must be able to function independently as well as a strong team member. Must possess strong communication, organizational and clerical skills. Computer literacy and competency required. Spanish/Bilingual abilities a plus.
SUMMARY DESCRIPTION:
The main function of the HR Program Assistant/Safety Coordinator is the coordination and facilitation of Missa Bay LLC’s Safety Program and related activities, while maintaining compliance with HIPPA, Privacy Protection and Company Confidentiality Rules and Regulation. In addition to Safety Coordination this candidate is also responsible to provide administrative support to the HR Dept. This candidate is required to guard the Confidentiality of all personnel, HR and Missa Bay LLC information and activity while providing excellent Customer Service to Internal Customers.
DUTIES/RESPONSIBILTIES:
Safety Coordination
· Investigation, recording, trouble-shooting and management all Safety/Near Miss Incidents
· Monitor and maintain safety incentive program
· Tracking and management of Workers Comp and Small Claims activity
· Coordination of all safety related activities
oFire Evacuation Drills, Emergency Exit Plans, etc.
o Management of Safety Related Manuals
· Responsible for the accuracy, recording, reporting, auditing and distribution of all OSHA and Safety related statistics
· OSHA and Safety related visits and audits
· Facilitation of Monthly Safety Committee Meetings
· Conduct New Hire Safety Orientations
· Coordination and sometimes presentation of Safety Related Trainings and Safety Talks
· Conduct Safety Walk Throughs/Walk Abouts
· Coordination and/or Facilitation of Company Safety Related Trainings, i.e. GMP, HAACP and Safety Trainings, etc.
· Training of all managers/supervisors on Missa Bay LLC Safety Related/Incident Reporting Procedures and Documentation
· Coordination and tracking of forklift certifications, recertification and other safety related trainings/credentials
· Facilitation of Drug Testing Program
· GMP compliance assistance
· Management of Workers Comp. and associated billing
· Prepare and disseminate Safety Communications
o Memos, emails, manuals, etc.
· Transport New Hires and workers to medical facilities, as needed.
· Other duties as assigned by supervisor.
Administrative Duties
· Clerical duties include filing, copying, etc.
· Administrative support include management of forms, manuals and filing systems
· Prepare and disseminate communications
o Memos, emails, manuals, etc.
· Provide reporting and support in all HR related audits
· Support and serve as backup to all HR functions
o Payroll, Benefits, Reception
· Prepare, audit distribute communications
· Process all New Hire Orientations
o To include completion of ID’s, personnel files and payroll entries
· All other duties as assigned by Supervisor
