Executive Administrative Assistant

Job Duties: Provide oversight for the daily activities of the Director and Deputy Director's Office; manage the Director's calendar, phone/e-mail, travel and contacts; collect and prepare materials for use in meetings/discussions; compose correspondence, monitor external/internal communications, address communications in an expeditious manner and bring critical issues to the Director and Vice Director;manage incoming and outgoing communications, including telephone, e-mail and fax; schedule and coordinate video teleconferences and conference calls; maintain organization chart;.create/format documents, spreadsheets, databases and presentations; create, maintain and update charts, lists and calendars; maintain and track travel and due diligence budgets; assist staff with proofreading, formatting and data input on Excel Spreadsheets, Power Point and Word documents; assist in preparing local, domestic, and international travel arrangements. Other duties as assigned.




Basic Qualifications:



Should have five to seven years of experience as an Executive Administrative Assistant or senior secretary providing support to administrative operations. Must have an TS/SCI with a CI Poly adjudicated within the last five years.  Should have knowledge of administrative and clerical functions, processes, practices and procedures, filing systems, correspondence and mail processes, procedures and travel. Should know or demonstrate the ability to learn and research client regulations, policies, and procedures.  Must be able to pass a security screening. Must be able to interact well with senior level management, co-workers, and the client. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in oral, written, diagram, or schedule form. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to present information in an effective manner to senior management. Strong relationship building and customer service skills. Proficiency with Microsoft Office (Word, Excel, Power Point, Outlook); Project, and Visio. Proficiency with LOTUS Notes desirable.
