Project Assistant II
The Project Assistant II will be responsible for the overall operations of the Portland office, coordinating with Altarum Information Technology (IT), Human Resources (HR) and the Facilities Department as needed. This person will also be primarily responsible for graphic support to the Maternal and Child Health practice area and secondarily to other staff members in the Altarum organization. The Project Assistant II will also perform administrative support duties on tasks, proposals and projects as needed. • Design chartbooks, brochures, fact sheets, logos, stationery, icons, cards, etc. Design information graphics including graphs and charts. Prepare documents for print and coordinate printing of jobs. Design graphics for Web application. • Format reports, surveys, letters, guides, newsletters. • Perform day-to-day activities to keep the office running and support staff members in Portland. Includes: ordering supplies, calling building maintenance, troubleshooting and/or arranging for repair/maintenance of office machines and services, signing off on invoices and bills for office expenses, consulting with the Facilities Department on office purchases, acting as an liaison to HR to schedule interviews via virtual teleconference and plan office functions, performing installations, maintenance, and services for IT under their direction, reconciling petty cash for Accounting in Michigan. • Research topics based on requests from project managers, coordinate email registrations, proofread documents. • Perform other duties as required. • Answer phones, greet visitors, receive deliveries. Education – Bachelor’s degree in communications, graphics, art, or marketing (preferred), as well as 1–2 years of relevant work experience or Associate’s degree in communications, graphics, art, or marketing (preferred) and 4–6 years of relevant work experience. Experience: • Have worked in a professional office setting • Basic understanding of IT tasks and language • Worked in or with the government (a plus!) Skills/Attributes: • Proficiency in: Adobe InDesign, Adobe Illustrator, QuarkXpress, Adobe Photoshop, Adobe Acrobat, Microsoft Word, Excel, and PowerPoint • Excellent verbal and written communication skills • Highly organized • Ability to handle pressure and perform multiple tasks under the guidance of several different managers from different locations at the same time with patience and a smile • Able to conceptualize themes, programs, and processes with “eye” for visual design • Strong attention to detail • Accuracy ABOUT ALTARUM: Altarum Institute is a nonprofit research and innovation institution with nearly 60 years of success in serving the public good by solving complex systems problems to improve human health - integrating research, technology, analysis and consulting skills.
