Accounting Assistant

Joslin Diabetes Center is an internationally recognized diabetes care, research and education institution affiliated with Harvard Medical School and headquartered in Boston, MA. Joslin is a non-profit organization dedicated to finding a cure for diabetes and improving the lives of people with diabetes through its cutting edge basic and clinical research, patient care programs for children and adults, and through programs and publications that improve the care of diabetes worldwide.

The Accounting Assistant is responsible for processing accounts payable invoices and issuing vendor checks.

Responsibilites Include:Prepare and process purchase order invoices, non-purchase order invoices and miscellaneous expense vouchers using the accounts payable system and following written procedures. Maintain integrity of the vendor master file by ensuring accuracy of data including vendor information, dollar value of invoices, and account numbers. Document any vendor discrepancies within the vendor folder, and bring to the attention of management. Maintain confidentiality of all accounts payable records.Respond to all internal and external inquiries regarding invoices via incoming and outgoing phone calls, mail, faxes and e-mail. Send out all checks via either US Mail or interoffice mail.Notify the Commonwealth of Massachusetts via the Internet whenever new independent contractors are used by the Center.Process and print checks to vendors each week and on-demand checks to vendors as needed. Notify bank of stop payments, void checks and manual checks. Match all invoices with checks for review by CEO and/or Controller.Open and sort incoming mail. Maintain filing system of open invoices within accounts payable. Prepare and file all paid invoices and check stubs for scanning and indexing by 3rd party vendor.Respond, research and resolve inquiries and purchase order problems from internal staff and external vendors, using Infinium, Bank of America Direct and Image Silo systems.

Qualifications Include:High School diploma.Minimum of 0 – 2 years’ business experience within an office environment, preferably within an accounts payable department. Basic math skills in addition, subtraction, multiplication, division of whole numbers, fractions, or decimals using a calculator to review and prepare invoices.Demonstrated customer service orientation to ensure a positive, courteous, helpful and professional manner to staff and visitors at all times, either in person or through telephone contact.Ability to use keyboard to accurately enter data and prepare checks.Knowledge of spreadsheet and word processing software a plus.Ability to produce high quality accurate work against weekly and/or daily deadlines with little direct supervision and numerous interruptions is required.
