Administrative Assistant/ Junior Business Analyst
Description: Our client is seeking an administrative professional + to assist their large healthcare organization for a period of at least 8 months. The Administrative Assistant for this project will provide support and assistance to the Project Manager and support key functional team activities.
Duties:
§ Schedule meetings in Outlook, maintain separate calendars for items such as project calendar and vacation calendar. Coordinate scheduling for project conference rooms and develop and support schedules for key functional presentations and activities.
§ Prepare presentations using PowerPoint and Word, excel, and support the packaging, distribution and presentation thereof.
§ Maintain the clearQuest issues log for functional project issues; this requires the development of reports, distribution (email or hard copy) of specific functional area reports; monitor status of issues; confer with functional team members to facilitate the resolution of issues.
§ Copy and/or burn documents onto CD/DVD and distribute accordingly, create agendas, meeting handouts and spreadsheets as instructed by the Project Manager, or various Team members.
§ Take meeting minutes and/or document action items, distribute to meeting participants and track resolution of action items;
§ Search project documentation for information.
§ Utilize Microsoft Project to support resource loading (i.e. enter information into project to support resource allocation); print reports, etc..
§ Maintain internal functional team drive and post functional documents to Share Point.
§ Daily use of the Word, Excel, PowerPoint, SharePoint, ClearQuest and Adobe.
§ Develop and maintain spreadsheets, develop and maintain databases, and issue weekly logs.
§ Create and administrate all project e-mail distribution lists.
§ Participate in and support other related project activities as required
Skills/Job Requirements:Adept in Microsoft Office tool suite (including Microsoft Project) Working knowledge of common project tools (i.e. Clear Quest, SharePoint) Ability to plan and coordinate activities 5 plus years of experience in a busy work environment supporting college degree Strong written and verbal communication skills, strong writing and editing skills Attention to detail and multi-tasking capabilities
This role is a high profile position in a large healthcare organization located in the downtown crossing neighborhood of Boston. Hourly rate depends on experience and benefits are available.
