JOB SUMMARY:
With minimal supervision and with general instruction, the Administrative Assistant II provides administrative and clerical support to an assigned function or department. The responsibilities for this position are moderately complex and frequently non-routine, some of which may not have established procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Schedules management appointments and meetings, and arranges travel and conferences.Compiles information and prepares a variety of drafts and finished documents including schedules, presentations, charts, graphics, tables, and reports. Reviews finished materials for completion, accuracy, format, grammar, spelling, and composition.Coordinates and/or attends meetings and records/transcribes minutes.Submits and tracks purchase requisitions, expense reports, travel requests, information technology requests, and facility requests.Receives phone calls, answers requests for factual information pertaining to the department’s specialty, and/or directs calls to the appropriate associate or departmentHandles incoming and outgoing mail and correspondence, including opening, reviewing, routing, and distributing.Orders, maintains, and tracks an adequate inventory of office supplies and forms, obtaining proper approvals and staying within allotted budget.
REQUIREMENTS:
Education:
High School Diploma or equivalent required
Formal training in computer applications such as spreadsheets or word processing is preferred
Certification/License:
Experience:
Minimum two years progressively responsible experience in administrative support positions required
Knowledge, Skills & Abilities: Knowledge of assigned department or function, its practices and terminology, and company standards, protocols and proceduresIntermediate to advanced level of Microsoft Office skills, including Word, Excel, PowerPoint, Access, and Lotus Notes or similar softwareKnowledge of standard administrative and secretarial practicesSkill to apply proper formats and to prepare a variety of correspondence, reports and other documentsReading comprehension skills to understand and comply with procedure manuals and reportsOrganizational skills to set priorities and complete tasks that have competing priorities and deadlines, with frequent changes and interruptionsDemonstrated personal initiative to work independently within defined parametersDemonstrated skills and habits in providing excellent customer serviceProven ability to handle and protect confidential and sensitive informationAppropriate level of attention to detail, accurate records and file organization and maintenance, and knowledge of organizational methods and standardsWriting skills to compose correspondence, instructions and reportsKnowledge of correct English usage in spelling, grammar, punctuation and vocabularyTechniques in recording and transcribing meeting minutes using proper formats
