Dental Administrative Coordinator: Full-Time position to help manage our front desk. We are looking for an experienced, personable, energetic, motivated individual with outstanding patient service skills and a solid commitment to quality patient care. Our practice has a tradition of 60 years of the highest quality precision dentistry. We are very proud of our high standards, the dentistry we provide, and the teamwork atmosphere we have created. POSITION SUMMARY:
· Scheduling Clinical Coordinator. Scheduling appointments that fit the template and production goals.
· Oversee the continuing care strategies
· Oversee insurance submission, insurance profiles and follow up
· Manage the follow up of unscheduled treatment plans
Scheduled Patient Management:
· Greet patients as they arrive and advise staff members on their arrival.
· Follow the appointment-scheduling template.
· Answer incoming phone calls; take concise messages and ensure that messages are appropriately followed-up. Call back any patient that has left a message on voice mail for the following day
· Ensure all telephone communication is courteous and reflective of practice image.
· Use telephone checklist for new and emergency patients.
· Always document all conversations with patients in the computer.
· Before confirming check to see if there are changes which could be made for more efficient scheduling. Confirm appointments as a first priority of the day. Schedule accordingly to the template guidelines.
· Call on insurance profiles before confirming appointments for new patients and enter the data into the computer.
· Assist in entering treatment plans into the computer.
· Track lost patients, following office protocol
Continuing Care:
· Schedule advance recare appointments
· Manage all follow-up (mail and phone) of recare system; confirm patients according to the recare system
· Follow-up calls to the 2 month, 6 month and 12 month overdue patients.
· Maintain continuing care trackers for recare program.
· Prepare hygiene charts two to three days in advance so that the team can review them at the huddle
· Follow-up on perio unscheduled treatment plans.
Morning Huddle:
· Assemble staff members and lead daily morning huddle according to the huddle outline
· Assemble all New Patient Intake information and review pertinent comments with the team
· Identify Patients who need
Ø financial arrangements
Ø financial discussions
Ø consultations
Ø health history updates
Ø hygiene scheduled (for clinical patients)
· Provide any background information about Patients in the schedule so the team can anticipate and meet their needs.
Financial Health of the practice:
· Present financial arrangements to patients
· Document financial arrangements on F/A form and in computer
· Understand insurance plans and benefits, file insurance claims, and follow up on delinquent claims.
· Assist in some of the tracking of our monthly practice statistics
Marketing:
· Share in promoting the practice and participate in internal marketing activities with the staff. Send thank you notes to patient referrals, mail birthday cards, all occasion cards etc.
· Complete the clinical care calls each day when needed and document in the computer that calls were made.
