Position Summary:
This is a temporary non-exempt, non-bargaining position for approximately 3-6 months. Position to start immediately. The administrative support clerk is responsible to the Department Manager of Compliance Auditing and Monitoring for clerical and technical support of daily operations.
Essential Responsibilities:
-Screen and respond to requests for general information; answer general questions; refer specific questions to the Manager.
-Open, sort and triage mail and faxes including mail that is highly sensitive and confidential.
-Maintain department supply inventory; coordinate purchasing and inventory tracking activities.
-Assist with information security and control activities; maintain key inventory.
-Assist with department calendars; schedule meetings and special events.
-Provide administrative and word processing support, which may include general correspondence, meeting minutes and reports; maintains electronic and hard copy documentation. Proof-reads correspondence and reports for accuracy and calls any deviations or inaccuracies to the attention of the Manager; assists with distribution to staff and other recipients.
-Assist in the preparation of materials for meetings, presentations and educational programs including handouts, audiovisual materials and hardware; gather data for reports and presentations from databases and other sources.
-Assist with maintenance of confidential paper and electronic filing system for the Compliance Office general files; supports information requirements for IRO. Archive and purge records under the guidance of the Manager and according to applicable retention schedules.
-Exercise professional judgment in handling correspondence, reports, and communications of a confidential nature. Comply with Privacy Program laws and policies with respect to patient confidentiality.
-Assist with travel arrangements, itineraries, travel vouchers and expense reports.
-Serve as back-up to other department support staff, which may require access to and use of ORCA, MD Audit and CUMG CIS.
-Other general administrative support duties as assigned by the Manager.
Required Qualifications:
-High School diploma or GED required
-Two years experience as an administrative assistant or secretary; experience in the healthcare industry preferred
-Excellent oral and written communication skills with the ability to convey a positive and professional image in person, on the telephone and in correspondence
-Ability to communicate tactfully and diplomatically with physicians, administrators, staff, and the members of the public
-Ability to handle highly confidential and sensitive matters
-Strong word processing skills, with a high degree of accuracy; statistical and numerical typing is required. Experience with Excel, PowerPoint and Word required; Access preferred.
-Strong organizational skills with an emphasis on attention to detail
-Ability to handle multiple tasks by prioritizing workload

Incumbents must demonstrate knowledge and understanding of the confidentiality of employee information, UWP plans, initiatives, and financial information, and patient privacy rights. Job duties must be performed with minimum access to and use of UWP, employee, and/or patient information. Incumbents are required to promptly report all compliance concerns.
