DescriptionGeneral Summary: Under direct supervision of the Facilities Manager, the Corporate Receptionist is responsible for continuous coverage of the main switchboard and lobby area for incoming visitors for Smith & Nephew during business hours. In addition, the Corporate Receptionist also provides assistance to the HR and Administrative Services departments to answer phones and provide administrative support in the absence of the Administrative Assistant(s)Essential Job Functions:1. Represents Smith & Nephew as a first point of contact for customers and visitors. Answers and directs telephone calls to the appropriate person or department in a timely, courteous manner. Receives and assigns badges to visitors or service technicians and coordinates with sponsor to provide escort while in the building 2. Responsible for maintaining current phone lists for Largo and St. Pete Personnel, Field Sales and Departmental Listing with quarterly printing for distribution or as needed by request. Current list(s) are on the Intranet Home page.3. Responsible for content of the Sales Roster which is published on the Intranet Home page.4. Responsible for the Employee Roster changes, new hires and termination maintenance to keep the document current. 5. Responsible for accepting small package and courier deliveries and pick-ups notifying the addressee in a timely manner of the disposition or delivery of packages.6. Provide instruction letter/information for the online employment application process to visitors or callers interested in employment with Smith & Nephew.Other Job Functions:1. Provide secure storage for incoming checks/cash for Accounting Department and prepares verifiable total and deposit ticket for weekly bank deposit. 2. Provide assistance in processing Account Payable checks for mailing;verifying proper signature(s) and remittance advice included with each check processed and return of support documents in alphabetical order to Accounts Payable Department for filing. 3. Accepts/declines/cancels requests for all conference rooms and assists when necessary to resolve conflicts.4. Arrange transportation to airport, hotel or medical facility as requested by visitors, In-house and Field Sales personnel. Prepare Taxi/Limo Log entry for Accounting to charge to correct cost center5. Coordinates long distance, Meet Me and Raindance conference calls.6. Performs other duties as requested assisting with projects which can be completed at Reception desk. Act as a team player in the organization by being aware of the scope, responsibility and authority of functions and activities and their impact on product quality or service quality to the customer as it pertains to quality systems standards, including but not limited to ISO 9001.Required SkillsRequirements: High School Diploma required. Continuing education in computer subjects beneficial. Must be proficient in the use of computer.Experience: Minimum two years previous experience in Switchboard Operator/Receptionist related duties. Effective oral and written communication skills with the ability to interact effectively at all levels of the organization. MS Word and Excel extremely helpful. Physical Demands: The position is in a standard office setting with moderate noise level and requires standing, walking, sitting, talking, hearing, use of hands/fingers, bending and reaching. Occasionally requires lifting and carrying equipment and materials weighing up to 20 pounds. Must be physically able to retrieve/store lightweight files in cabinets that are up to 5 feet tall. The position includes frequent use of a computer so there is a close vision requirement.Manual Dexterity: Requires operation of computer, printer, copy machine, calculator, telephone, and fax. Requires continuous attention to detail while performing job requirements. Mental effort and verbal skills required to effectively communicate with internal and external customers.
