Dermatology Front Desk Supervisor
This position supervises the day-to-day operations and functions of the front desk staff, ensuring that office policies, procedures, and plans are executed in a smooth and expeditious manner. Key responsibilities include staff management, office administration duties, internal sales and patient satisfaction.
ESSENTIAL SKILLS AND ABILITIES: Excellent verbal and written communication skills. Superior interpersonal skills – ability to interact with management, staff, and patients in a highly effective manor. Human resource development and supervisory skills. High-level word processing, spreadsheet and data base skills. Competent in problem solving and decision-making. Must be able to delegate and supervise successfully. Ability to manage multiple tasks simultaneously and with potential interruptions. Strong organizational skills with attention to detail. Competency in math. This position requires extended hours as needed including occasional evening and weekends
RESPONSIBILITIES:
Supervision of Front Desk Staff: Provides leadership, guidance, training and organizational expertise to front desk staff members. Effectively communicates to all staff members. Maintains a high performance team of staff that is efficient, knowledgeable, sales and service-oriented, and shares responsibility for attaining the goals of the practice. Assists management in the hiring and provides feedback on employee performance. Provides support and training to Front Desk staff. Prepares and conducts weekly front desk staff meetings. Provides backup to front desk as needed for extended hours or absences. Reinforces sales incentive programs with staff. Ensures staff is trained in bonus program incentives.
Communication: Serves as liaison between front desk staff and management Maintains communication received and sent to patients on company email info@skinsmart.com . Sends and receives all business mail – including product shipments to patients. Prepares and sends reminder cards for appointment cancellations and no shows. Handles all written correspondence to patients and other businesses excluding billing and discharges. Maintains relationships with referring physician front desk staffs by phone and personal visits. Ensures that schedules are maintained in an efficient manner, consulting with management when necessary to determine preferences and needs. Monitors scheduling functions to determine compliance with standards.
Patient Services: Monitors patient contact with front desk staff, ensuring such contact is cordial and professional. Serves as the primary staff contact for patient financing options. Ensures that front desk staff is fully trained on financing. Works with patients to resolve dissatisfaction issues. Works with “VIP” clients on special needs. Dispenses prescriptions – trains staff on proper procedures
Office Operations: Acts as primary contact for machine repair and maintenance. Supervises product sales and inventory – reorders products as necessary. Prepares and reviews end of day closeout of sales and cash drawer. Reviews cosmetic superbills for accuracy and proper patient billing. Manages time schedule blocks for providers on Nextech – reviews waiting list with management Contact person for building repair and maintenance issues Maintains and orders office supplies as needed.
