Executive Assistant to CEO and Senior Director of Finance

Serving the community for over 50 years, its doctors and other health professionals pride themselves on offering high-quality, compassionate care out of care centers in Vacaville, Fairfield, Vallejo, Rio Vista, Pittsburg, Brentwood and Antioch California.The Executive Assistant provides administrative and/or secretarial support to the CEO; the Senior Director of Finance, and other members of the administrative staff as requested, the SRMF Board of Trustees; and other management and Board committees at Sutter Regional Medical Foundation. The Executive Assistant supervises one or more Executive/Administrative Assistants and clerk/receptionists.Knowledge of: Familiarity with health care terminology is desired. Familiarity with medical groups is preferred. Familiarity with secretarial and administrative standards is required. Excellent knowledge and command of the English language, including proper spelling, grammar and punctuation, and the ability to proof-read carefully is required. Ability to: Demonstrated strong organizational analytical and problem solving skills as well as having excellent verbal and written skills. Demonstrated ability to develop and execute monitoring/follow-up systems to ensure deadlines are met for reports, meetings, agendas and other time critical activities. This is a significant part of the job. Ability to effectively establish work priorities. Ability to maintain the integrity of confidential information. Demonstrated ability to lead and direct others in a team environment. Previous experience using Windows-based personal computers and other standard office equipment, such as projectors, and fax and photocopy machines is required. Proficiency with Microsoft Office software, including Word, Excel, PowerPoint, and Outlook is required. Experience and Education: Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be: Experience: Prior Executive-level secretarial experience and demonstrated proficiency in advanced secretarial skills are required. Demonstrated experience in developing/maintaining organized, effective work flow systems, composing correspondence and reports, managing executive calendars, taking Board minutes, managing multiple projects simultaneously in a fast paced environment, professionally handling client contacts and confidential information is required. Motivated self-starter with an ability to work with minimal amount of supervision is required. Education: A high school education or equivalent is required, with a preferred educational background or experience to further the development of advanced secretarial and interpersonal skills.
