Office Administrator III
Primary function: To provide administrative support to multiple departments or a functional organizational unit under minimum supervision. Performs varied clerical and administrative duties requiring a high degree of autonomy and judgment. Independently anticipates the clerical requirements and relieves managers and department staff of clerical and administrative duties. Answers inquiries on own initiative and determines within established guidelines if executive action is required. May be responsible for small projects for which decisions are made in the absence of firm instructions or existing procedures. Understands the interrelationships of related organizations in order to prioritize activities and maintain appropriate confidentiality. May coordinate messages, appointments, information to callers. File maintenance, department office supplies and mailResearches, compiles and proofs word processing assignments. Operates automated office equipmentAnswers incoming calls and exercises judgment in their further handlingDirect s customer inquiries on routine matters to appropriate personnel n the field officeTypes and proofreads letters, quotations, reports, etc. Establishes and maintains accurate records, filing and follow-up in accordance with needs of the office. Trains new hires on procedures and paperwork. Schedules appointments, meetings, etc. Makes travel arrangementsPerforms other related duties as required. Note: The duties listed above reflect general responsibilities necessary for the performance of the job and may not include all of the specific job activities.QualificationsSpecific training, skills and experience needed to perform the job typically requires four (4) years secretarial/administrative experience with one year functioning as a secretary or completion of a formal secretarial training program at a community college or business school plus two (2) years related experience or two (2) years business education at a community college plus two (2) years related experience. Proficient in utilizing E-mail, Microsoft Word, Excel, and PowerPoint. Experience with SAP desired.
