Proposal Coordinator / 206 Position Description:We are looking for a self-starter who is highly organized; can meet tight deadlines; knows how to problem-solve and is able to work a flexible schedule. The candidate will work directly with the Director of Proposals, the Executive Vice President of Sales, all of the Sales Vice Presidents and Senior Proposal Writers providing sales support, including the assembly of complex proposals; developing PowerPoint presentations for finalist presentations and site visits; creating organizational charts and workflows; conducting online research; telephonic and written contact with potential clients and colleagues; and general administrative and business development support. The ideal candidate will have a proven record of consistently seeing tasks through to completion while remaining productive under pressure. This individual will have verifiable experience in a demanding sales/marketing environment and the aptitude to quickly and thoroughly assume the varied responsibilities and expectations of this position. A background in the healthcare industry is preferred, as is experience providing administrative support in a sales/marketing department.ESSENTIAL DUTIES INCLUDE THE FOLLOWING: (Other duties may be assigned.)• Responsible for coordinating the production of commercial proposals and presentations, including editing/formatting text; inserting graphics; ordering needed supplies/materials; and copying and assembly • Schedule and participate in strategy meetings supporting proposal and presentation development; i.e. participate in discussions regarding production timeline and delivery of final documents • Work with the Director of Proposals and Senior Proposal Writers to develop, maintain, and communicate the proposal schedule and assignments; i.e. facilitate ongoing communication from receipt of the production request to the day of production to the final submission • Review proposal responses and other correspondence for clarity, grammar, and compliance to requirements; i.e. reviewing content prior to printing and/or prior to converting documents to PDF for submission to assure accuracy, completeness and proper formatting • In collaboration with Sales VP’s, develop PowerPoint presentations for finalist meetings and site visits • In collaboration with Senior Proposal Writers and Sales VP’s, develop organizational charts, program workflows, etc. for inclusion in proposals and presentations • Serve as the liaison in the creation of covers, spines, and complex PowerPoint presentations with Marketing staff • Conduct online research to fulfill internal and external inquiries; i.e. finding a company logo, compiling research on a competitor, gathering pertinent details on a prospect, etc. • Enforce electronic document version control; i.e. the Proposal Coordinator electronically maintains, including cataloging, the most up to date attachments/appendices in order to respond to requests • Manage the collection and editing of standard response materials into an electronic archival system to facilitate responses to RFPs/RFIs; i.e. work collaboratively with Marketing, Account Management, etc. to acquire up to date client lists in order complete requests • Respond in a timely manner to requests received either via email and or via phone; acknowledge requests received; discuss expectations; define timelines; etc. • Support and participate in the development and improvement of the proposal process and procedures • Proactively work with Marketing to ensure that Sales/Proposals has access to the latest approved marketing materials; i.e. member communication and educational materials; marketing slicks; etc. • Conduct online research to identify potential proposal opportunities; i.e. identifying online procurement website for each state and registering APS on each site; etc. • Order and maintain supply inventory • Organize and maintain hard copy files for Sales; i.e. establishing a library for hardcopy proposal responses • Support Sales and proposal professionals with other administrative tasks as assigned, in collaboration with Director of Proposals Requirements: We are searching for someone to complement and enhance our team. An individual who is: flexible; articulate; possesses excellent writing skills; a meticulous attention to detail; an abiding sense of responsibility; the ability to differentiate between the importance of tasks in a fast-paced setting; advanced administrative skills; outstanding and tested knowledge of Word, Excel, PowerPoint and Outlook; and resourceful computer aptitude applied to learning new software or helping determine how to better use existing programs and functions. Critical attributes include exceptional communication, teamwork, flexibility, organizational capacity, and a “do-whatever-it-takes” attitude. Core skill set includes professional editing for grammar, punctuation, accuracy, and compliance. The successful candidate should expect to work a considerable amount of additional time on extremely short notice.Education: BA or BS preferred; or 3-5 years of commensurate experience in a sales/marketing environment. Administrative support experience is required. Must be flexible; detail-oriented; have a high degree of organizational and software experience, including Microsoft Outlook, Word, and PowerPoint; ability to problem-solve to assure internal and external deadlines are met; and be a self-starter. The ability to multi-task is a must.
