Seasoned Career Executive Assistant

The Forest at Duke, a non-profit, top tier retirement community located near Duke University on 47 acres, seeks a a versatile and seasoned Career Executive Assistant who can take ownership and get involved in all aspects of this leading professional’s business activities. This position manages the operations and administration of the Office of the President/Executive Director and serves as a Business Partner to the President/Executive Director. Performs duties assigned by the President/Executive Director which includes planning, prioritizing, managing and executing executive office business, designing and implementing systems that maximize the effective and efficient functioning of the President/Executive Director, managing Front Desk Staff including annual evaluations, scheduling, interviewing, hiring and terminations, creating, overseeing and designing all internal and external published materials for consistency, and developing communications for President/Executive Director.  Creative business writing skills and 10+ years experience supporting C level Executives are a must.

DUTIES AND RESPONSIBLITIES:

·Research, compile, and organize information for use by the President/Executive Director in the completion of reports, recommendations, and special projects.
·Develop communications for President/Executive Director.
·Provide strategic thinking and provide effective troubleshooting ideas to President/Executive Director .
·Establishes effective, ongoing two-way communications, especially with employees.
·Create, oversee and design all internal and external published materials for consistency.
·Support the President/Executive Director in committee work of all kinds and all external and internal activities.
·Assist the President/Executive Director in keeping the Board of Directors, residents, and other constituent groups well informed through regular communications.
·Assist President/Executive Director in planning, prioritizing, managing and executing executive office business.
·Design and implement systems that maximize the effective and efficient functioning of the President/Executive Director.
·Perform substantial and ongoing administrative and special projects duties in coordination with executive management team involving complex management and operational issues.
·Meet regularly with the President/Executive Director .
·Manage Front Desk Staff including annual evaluations, scheduling, interviewing, hiring and terminations.
·Record and maintain Minutes for the Board of Directors and assist the Board as necessary.
·Exhibit a professional and cooperative spirit with the facility’s management team, all Forest staff, and residents.
·Establish and maintain accurate records and filing system.
·Screen incoming calls for President/Executive Director.
·Process monthly expense reports for President/Executive Director.
·Make business related travel arrangements for President/Executive Director.
·Schedule and maintain daily calendar with extensive activity for the President/Executive Director.
·Maintain confidentiality of records and administrative office conversations.
·Receive, review and forward resident information, applications, and legal documentation to the President/Executive Director for review.
·Answer or refer inquiries from residents, families, staff, or public regarding the facility.
