Travel Coordinator

The Henry M. Jackson Foundation for the Advancement of Military Medicine is seeking a Travel Coordinator. The incumbent coordinates all aspects of the travel function and researches options to maintain an economic and efficient travel program. Responsible for performing a full range of travel logistics, including coordinating air travel, ground transportation, hotel accommodations, and registration fees for various meetings and conferences throughout the year.  Schedules HJF employees and customers for authorized travel on commercial flights ensuring accuracy with the external travel agency.  Coordinates the steps to economize when possible. Interacts with HJF employees and customers to communicate and resolve travel issues, e.g., documentation, approval, BCM errors.  Advises travelers as needed with respect to travel advisories, especially international travelers. Coordinates reconciliation of travel expenses with travel authorization. Analyzes travel processes and procedures and identifies and recommends improvements to the Travel Manager, as needed. Utilizing PeopleSoft, enters travel purchase orders, ensuring accuracy and approval.  Performs quality assurance by running queries in order to process weekly invoices. As required, develops recommended policies and procedures for assigned functions. Performs other duties, as assigned.  Must have highly organized individual with a friendly, persuasive telephone manner; requires a high level of analytical skills to assess and evaluate problems associated with travel logistics for individuals and groups of people; excellent interpersonal skills required, including the ability to communicate in a professional manner, and maintain a positive working relationship with co-workers and customers.  Requires broad knowledge of basic office procedures and the ability to handle multiple tasks.

 

Minimum Education/Training: Bachelor’s preferred; equivalent experience will be considered in lieu of education

 

Minimum Experience: 0-2 years experience in customer service environment, 2 years in an office environment
